Role Purpose

The People & Culture Coordinator will complete administrative duties for the People & Culture team, whilst providing support for all Funko EMEA colleagues. The role is based in our Coventry location, but the People & Culture Coordinator will also support Funko employees in our London location, those working remotely and across our European locations.

What You’ll Do:

  • Management of the People & Culture team inbox; responding to employee queries and fielding queries to the wider P&C team when necessary.
  • Onboarding: coordinate administration for new starters; drafting and sending formal offer letters and contracts, maintaining new starter tracker, inputting employee data on the P&C System, collecting employment references and leading inductions for new starters.
  • Probation: partner closely with the P&C Advisor to support the probation process for all new starters and completing all associated administrative duties, escalating to the P&C Business Partners when required.
  • Offboarding: partner closely with P&C Business Partners and P&C Operations Manager to coordinate administration for leavers; including drafting leavers letters, employment references and maintaining the leavers tracker.
  • Supporting with benefits administration (i.e. sending out beneficiary forms, adding employees to benefits platform(s), Sales Incentive Programme enrolment, including issuing target and payment letters), supporting with job change administration (i.e. new role letters and secondment letters) and maintaining employee personnel files.
  • People & Culture System: System administrator (People HR). Ensure all P&C records are maintained in accordance with our company policy and legal requirements to the highest level of accuracy. Owning, updating and publishing monthly organisation charts and monthly/quarterly/bi-annual reports; including ensuring all mandatory policies are read and signed by employees, that holiday usage is in-line with expectations, performance reviews are completed in a timely manner and office attendance metrics are generated.
  • Ensure all right to work / immigration and visa administration is collected and updated on the P&C system. Trouble shooting basic system errors and responding to system related queries.
  • Engagement & EDIB: supporting with the organisation of engagement initiatives and inclusion initiatives, supporting with recognition awards and producing tenure certificates.
  • Recruitment: Supporting the Talent Acquisition team, such as booking interviews via Outlook.
  • Other: ad-hoc duties for the Director, People and Culture - EMEA and / or the People & Culture Business Partners. Ad-hoc travel to our London location is required within this role.

What You’ll Bring:

  • Experience of working in a previous role as a HR Assistant / Administrator.
  • Passion for developing your career in People & Culture.
  • Working knowledge of Microsoft Office 365 packages, including intermediate skills in Microsoft Excel is desirable.
  • Ability to work with confidential information and remain discreet at all times.
  • Team player and eager to learn.
  • Attention to detail.
  • Good organisational skills, ability to prioritize.
  • Good relationship builder with internal and external stakeholders.
  • Good written and verbal communication.
