Salary: Up to £40,000 + Annual Bonus

Hours: 30 to 37.5 per week Monday to Friday

Location: London. Hybrid role – typically operates on a hybrid basis of four days in the office and one day from home (which will flex to meet business demands)

Key Requirements
  • Experience (2-5 years+) in an Executive Assistant or senior administrative role, including senior stakeholder support and accurate minute taking
  • Strong organisational skills, able to manage multiple priorities with accuracy, discretion and good judgement

About the Role

As Executive Assistant to the CEO, you will act as a trusted partner, providing high‑level executive support and ensuring the smooth coordination of business priorities. You will manage the CEO's diary, communications, and travel, while acting as a key point of contact for internal and external stakeholders, maintaining a professional and efficient flow of information. You will play a central role in supporting governance and leadership activity, coordinating Board and senior stakeholder meetings, preparing and distributing papers, and producing accurate, high‑quality minutes. You will also track actions and ensure clear follow‑up, helping to drive accountability and delivery across the business, and ensuring that key decisions and outcomes are clearly communicated and progressed. A key part of the role will be leading and managing the Business Support Team, ensuring the effective delivery of administrative tasks and projects across the network of senior leaders and assets within the FIM business. You will coordinate against workloads, maintain high service standards, and drive consistency in administrative support across the organisation. In addition to providing executive support, you will assume full ownership & responsibility for the management of the London office. This includes overseeing the day‑to‑day running of the business, ensuring smooth office operations, and maintaining a professional, well‑organised working environment. You will also support company communications and branding, ensuring consistency across all materials and outputs including the FIM website, and LinkedIn, and contribute to wider business initiatives, projects, and events. This is a varied and visible role, offering the opportunity to work closely with senior leadership and make a meaningful impact on the effectiveness, professionalism, and culture of the organisation.

About You

This role is ideal for someone who is proactive, resilient and highly organised, with at least 2 years’ experience in an office management or similar Executive Assistant role supporting a senior executive or leadership team member. You will have a strong track record of supporting senior leaders in a fast‑paced, professional environment. You will be confident managing multiple priorities, handling sensitive information with discretion, and delivering high‑quality work with strong attention to detail. You thrive in dynamic environments, are comfortable working independently, and bring a solutions‑focused, "can‑do" approach. A strong communicator and collaborative team player, you build effective relationships and are always looking for ways to improve processes and add value to the business.
