Are you a dynamic and highly organised professional, looking to make a significant impact in a large, innovative and growing organisation? We are seeking an accomplished and proactive Executive Assistant to support the Chief Operating Officer. This role will report to and work in collaboration with the UK Chief of Staff to ensure the effective and successful running of the CEO and COO offices, enabling them to focus on strategic initiatives while you take care of the details.
Your ability to multitask, prioritise, and communicate effectively will be instrumental in ensuring the seamless operation of the COO. This role is seeking an individual who has a proven background in managing complex scheduling and day-to-day organisation at a senior executive level, as well as a great attention to detail, resourcefulness and the ability to remain calm under pressure.
Your role requires a positive, flexible and curious individual who has a passion for organisation and making an impact. The main responsibilities of the role include:
- Focusing on the priorities and tasks required to support the effective day-to-day running of the COO.
- Complex diary management to include effective triage, prioritisation and time management considering multiple timezones to ensure strategic goals are met.
- Mailbox management to include initial triage, flagging or redirecting where appropriate.
- Planning travel and meetings including all logistics associated to match itineraries.
- Planning customer trips and entertainment schedules.
- Safeguarding the COO’s time; in addition, ownership of the coordination and distribution of meeting materials in advance to facilitate.
- Deputising for the CEO EA where required.
- Pro-actively developing and following up on action items required of the COO and their team.
- Administrative tasks for the COO, such as taking meeting minutes, printing documentation and ad hoc admin etc.
- Demonstrating a consistent and professional representation of the COO brand as a key liaison to both internal colleagues and external customers/offices.
- Building knowledge and networks with other HQ and Global Office Teams within the organisation.
- Attend and be involved in key Leadership Team meetings with accountability to track and follow up on actions and activities.
Your Skills and Experience:
- Proven experience as an executive assistant to a CEO or a Senior Executive.
- Excellent organisational, planning and time management skills.
- Exceptional interpersonal skills, verbal and written communication.
- Ability to prioritise and handle multiple tasks and demands at any given time.
- Proficiency in MS Office Suite.
- Strong problem-solving and decision-making skills.
- A proactive and detail-oriented approach to work.
- High level of professionalism, integrity and discretion.
- Commercial awareness.
