We are seeking an enthusiastic Team Assistant (TA) on a six‑month fixed term contract, who will provide invaluable support to a busy and dynamic team of advisers within the Corporate Finance team. Your exceptional organisational skills, attention to detail and ability to handle multiple tasks simultaneously will be crucial to ensuring the smooth running of the team.
There are two main parts to the role:
- High level of administrative support for the Managing Directors and general administrative support to the wider team.
- Responsible for carrying‑out conflict checks submissions and opening matter codes on Salesforce.
This role is suited to someone who is a proactive self‑starter, with a strong team ethos and a can‑do attitude. The TA will work alongside the current two Executive Assistants (EA) to support the team and report to our lead EA.
Key Responsibilities
- Submitting expenses and invoices, ensuring prompt payment.
- Ad hoc submission of timesheets for the Managing Directors.
- Carrying‑out conflict checks submissions and opening matter codes on Salesforce.
- Inputting/updating contacts on Salesforce.
- Working closely with the EAs organising certain client events and meetings including breakfasts/lunches/dinners.
- Preparing and updating the new joiner starter induction pack and Team Org Charts.
- Assisting with arranging travel (flights, hotels, airport transfers, etc).
- Scheduling meetings, booking meeting rooms, working across multiple time zones.
- Preparing and collating internal and external documentation, printing, photocopying and binding, ensuring formatting is in line with company templates and standards with Word, PowerPoint, Excel and Outlook.
- Liaising with facilities, IT support and finance on behalf of the team to ensure smooth running of the office.
- Arranging occasion cards/gifts (leavers, weddings, sympathy, etc).
- Supporting with team whereabouts.
- Distributing post (electronic/hard copies).
