Key Job Duties & Responsibilities
- Coordinate daily distribution activities by responding to calls and emails from both internal and external stakeholders.
- Resolve and respond to queries by communicating effectively with the wider Distribution and Operations Teams and utilising all IT software available including internal distribution systems and the distribution helpdesk.
- Keep lines of communication open and processes followed correctly across the whole Distribution department.
- Upload routes and runs and change or amend any details that may arise when changes are made to the rota, ensuring they are responded to effectively and efficiently with minimal disruption.
- Ensure all routes and runs for Oil, Food Waste and Fryer management are coordinated and communicated with the distribution teams, so that all Distribution teams know what tasks they must complete each day and have the necessary information needed to complete their work to a high standard.
- Compile weekly data to report to SLT and discuss in weekly Commercial/Distribution meetings with the support of the Lisburn Depot Manager.
- Work closely with the Distribution Team and Lisburn Depot Manager to promote the highest level of customer service, identifying and providing solutions to potential issues, demonstrating strong problem-solving skills to respond to a changing and dynamic industry.
- Communicate day to day through WhatsApp and phone calls on any issues reported.
- Work alongside the Lisburn Depot Manager to ensure the depot is operationally effective and provide support when required with HR processes and recruitment activity.
- Collaborate with other departments within the company to ensure smooth customer onboarding and liaise widely to ensure success within this coordination role.
- Ensure all issues and concerns are raised with the Lisburn Depot Manager.
Requirements
- A minimum of 12 months experience in a similar Transport/Logistics coordination/administration role.
- Confident using Microsoft Office (Excel, Word and Outlook specifically).
- Previous customer service experience and ability to demonstrate how you can build strong relationships with customers.
- Ability to demonstrate you can work well in a team environment as well as individually to meet set KPIs.
- Good time management skills to prioritise tasks in a fast-paced environment.
- Organisational skills and ability to show high levels of attention to detail in quality of work.
- Written and verbal communication skills.
- Motivated and curious to learn and support your own personal development.
- Ability to demonstrate you have lived Frylite Solution’s values in previous roles: Respect, Relationships, Work Ethic, Success & Excellence.
- Previous experience using Transport systems would be desirable.
