About the Role
As an External Affairs Specialist, you’ll be instrumental in delivering high-impact stakeholder engagement events that strengthen Frontiers’ global partnerships and collaborations in support of our mission to make science open. You’ll support all aspects of event planning and stakeholder engagement for both the External Affairs and Institutional Partnerships teams, ensuring every event is executed to a high standard, on time, and on budget.
Your Key Responsibilities
- Planning and managing around 50 global events annually, covering logistics, communications, and vendor coordination.
- Acting as the central contact for project leads, external partners, and vendors.
- Managing stakeholder data and relationships through Salesforce, ensuring accuracy and strategic use.
- Conducting stakeholder research and preparing briefings to support informed engagement.
- Tracking milestones and outcomes through management reports and progress updates.
- Driving process improvements and leveraging AI tools to enhance efficiency.
- Partnering with Marketing to highlight event impact and organizational presence.
What We’re Looking For
- 2+ years’ experience in project or event management; experience with academic/scientific events is a plus.
- Bachelor’s degree.
- Fluent English speaker with excellent communication skills.
- Comfortable using project management tools (e.g., Jira, Confluence), CRM systems (e.g., Salesforce), and MS Office.
- Familiarity with AI-powered event tools (e.g., Otter.ai, Sched) is a plus.
- Strong attention to detail, time management, and ability to work independently and across teams.
