Practice Co-ordination Team at Frontier
We are currently looking for an experienced individual to join us as a Senior Personal Assistant in our Practice Coordination Team (PCT). The role will be providing maternity cover for a period of 12 to 18 months within our Transport and Water Practice.
The wider PCT team comprises c.22 Executive Assistants (EAs), Personal Assistants (PAs), and Team Assistants. We aim to provide a high-quality, professional, efficient and proactive support service to Frontier, continuously striving to improve our skills and capabilities across the firm to adapt to change and embrace new opportunities.
Our Transport and Water Practice comprises approximately 25 professionals. As the sole PA within the team, the appointed candidate will play a pivotal role, providing high-level executive support to two Directors and comprehensive administrative assistance to the wider practice.

Job Description
This is an excellent opportunity for someone who is proactive, passionate to learn, able to work at speed and build relationships. They will provide support to a busy and interesting practice within Frontier, working collaboratively with the existing EAs and PAs. Our work environment is based on collaboration and innovation. We seek a flexible and team spirited approach to working closely with other PCT colleagues on a variety of administrative asks in support of the business.
As Senior PA for two Directors and the wider practice, we would expect you to build and maintain a strong working relationship with the core stakeholders, have a good understanding and interest of the practice and the work they do and be proactive in proposing how to make effective use of their time.
Some of the core tasks in this diverse role, but not limited to, are:
- Proactive diary management for two Directors, ensuring competing priorities are balanced, deadlines are met, and time is optimised for maximum effectiveness.
- Organising and participating in project and senior meetings, including preparing agendas and materials, taking accurate minutes, and tracking follow-up actions to ensure progress and accountability.
- Supporting Directors with internal management responsibilities, helping drive the completion of key business and operational tasks.
- Acting as a trusted ambassador for the Directors and practice when liaising with internal colleagues and external stakeholders, ensuring a professional and positive representation at all times.
- Building strong cross-business relationships to enable collaboration, knowledge sharing, and alignment across teams.
- Serving as a central point of contact for the practice, supporting up to 25 team members to ensure smooth day-to-day operations.
- Developing in-depth knowledge of the practice’s key areas of work, client base, and strategic priorities to provide informed, proactive, and context-aware support.
- Preparing and processing project invoices, ensuring accuracy and timeliness to support financial efficiency.
- Managing travel and expenses for Directors and practice members, optimising itineraries and ensuring compliance with policy.
- Proofreading, formatting, and editing documents and reports to ensure accuracy, consistency, and a high professional standard.
- Coordinating and supporting practice-wide events, meetings, and away days, contributing to team engagement, knowledge sharing, and collaboration.
- Delivering flexible administrative support for the wider team, anticipating needs and responding effectively to ad hoc requirements.
Essential Requirements
- Experience in a similar position within financial, professional, public institutions or third sector.
- Self-motivated, with the ability to work proactively.
- Strong organisational skills, diligence, and the ability to manage multiple tasks and priorities.
- Strong team player with a flexible, initiative-taking, and professional attitude
- Good knowledge of Microsoft Office 365.
- Effective communication skills, both written and spoken.
- Confident in building positive working relationships across the company.
