Helpdesk Facilities Reservations / Workplace Coordinator in London at a leading international professional services organisation who areseeking a polished and service-focused Workplace Coordinator to join their London team.
The role will involve supporting internal and external customers in a fast-paced virtual environment through telephone, email and live chat. One day per week will typically be spent onsite, working alongside the local Workplace Experience team and supporting reception, visitors and meeting room operations.
The working pattern may vary depending on business requirements, so flexibility will be important.
Key Responsibilities
- Providing a warm, professional and high-touch service to internal and external customers
- Responding to enquiries through telephone, email and live chat
- Managing requests efficiently and directing enquiries to the appropriate department or resource
- Welcoming visitors and ensuring they receive a seamless arrival experience
- Supporting reception operations when working onsite
- Preparing conference and meeting rooms ahead of use
- Creating positive workplace experiences for employees, clients and guests
- Acting as a link between customers and Workplace Experience teams across different offices
- Collaborating with other departments to resolve requests smoothly
- Providing accurate information and updates throughout the customer journey
- Using initiative to assess situations and take appropriate action
- Taking ownership of team responsibilities and supporting colleagues during busy periods
- Building positive relationships with colleagues, visitors and internal customers
- Maintaining consistently high service standards across both virtual and onsite support
Candidate Requirements
- Excellent written and verbal communication skills
- Strong customer service experience and a genuine desire to exceed expectations
- Confidence communicating by telephone, email and online chat
- The ability to remain calm and professional in a fast-paced environment
- Good judgement and the confidence to act without constant supervision
- A collaborative and flexible approach
- Strong attention to detail
- A high school diploma or equivalent qualification
Previous Experience
- Corporate reception or front of house
- Workplace or office services
- Hospitality or guest services
- Inbound customer service or contact centre support
- Technology-based customer support
- Administration within a professional services environment
Fluency in English is required. Additional proficiency in German, French, Spanish or Italian would be advantageous but is not essential.
