We are currently seeking a highly organised Legal Executive Assistant (LEA) with previous experience to join our M&A team in the London office supporting 2 Partners and approx. 7 Associates. You’ll provide an efficient and effective range of administrative and LEA support to assigned attorneys within the team, ensuring seamless day-to-day operations.
JOB RELATIONSHIPS: Building and maintaining strong relationships with all assigned attorneys; and interact with professional and administrative staff on a day-to-day basis. This role will report into the LEA Team Leader.
JOB RESPONSIBILITIES:
- Schedule appointments, coordinating meeting/conference room bookings with Reception as necessary (to include coordinating with Reception/IT in relation to video conferencing requirements).
- Deal with attorney travel arrangements (including hotel accommodation, currency requests, car bookings etc.).
- Perform typing and transcription duties as required, either from dictation or handwritten documents.
- Dealing with telephone calls (including screening calls, taking accurate and detailed messages, passing on messages promptly).
- Deal with filing emails to iManage.
- Process attorney timesheets and billing statements.
- Process attorney expenses.
- Coordinate courier packages/special deliveries with the Reception/Operations team.
- Coordinate copying and binding jobs with Operations team.
- Provide administrative assistance of a personal nature as requested by assigned attorneys.
- Undertake such other duties, temporarily or on a continuing basis, as may reasonably be required.
- Assist other attorneys and colleagues when required.
JOB SPECIFICATIONS:
Skills and abilities:
- Relevant secretarial qualifications preferred but not essential (Typing minimum 60wpm).
- Previous experience working as an Executive Assistant, for a law or professional services firm.
- Proficiency in word processing and other Firm software, such as Word, Outlook, Excel, PowerPoint, Chrome River, InTapp and InterAction and such other software as introduced.
- Excellent diary management skills.
- Effective communication skills (written and spoken), including generating own correspondence.
- Ability to work under pressure (with interruptions) to tight deadlines.
- Ability to prioritise multiple tasks.
- Ability to solve problems.
- Good attention to detail.
- Professionalism, integrity and confidentiality.
- Proactivity and initiative.
- Flexibility, self-motivation and reliability.
Standard hours are 9.30am-5.30pm (35 hours or as required) plus paid overtime.
