About the Role: Are you an organised administrator who thrives in a fast-paced educational setting? Do you have a proven track record of managing school admissions or coordinating key student milestones like UCAS applications? Our client is a highly regarded, historic selective grammar school with an inclusive, coeducational Sixth Form located in Gloucestershire. They are seeking a Sixth Form Administrator to join their team on a 12 month fixed term contract.
Job Purpose: To provide high quality, efficient administrative support to the Upper School Leadership Team. To oversee and administer the Sixth Form Admissions process, including the logistics and coordination of events, open days, and student induction.
Main Duties and Responsibilities:
- Administrative Support: Act as the first point of contact for general queries from students, parents, staff, and external visitors. Provide comprehensive administrative support to the Leadership Team within the Key Stage group. Manage incoming communications, including receiving and responding to telephone calls and emails, and taking accurate messages. Prepare formal communications and handle daily correspondence with parents and students. Manage calendars, schedule appointments, and coordinate meetings for the leadership team. Input, update, and maintain student data, records, and reports within the school Management Information System.
- Sixth Form Admissions and Coordination: Undertake all relevant administrative duties in connection with the Sixth Form admissions process. Support the planning, coordination, and execution of Sixth Form open days, prospective student events, and transition programmes. Handle telephone and email enquiries from prospective students and parents in a timely and professional manner. Lead the administrative tracking of UCAS applications, liaising closely with teaching staff and students to ensure all deadlines are met. Maintain clear records of student destinations and produce mandatory compliance reports for the local authority (RONI). Plan and support the Year 12 induction process, including all administrative tasks linked to the Year 12 residential trip in Term 1. Monitor and support the progress of probation students, linking with relevant academic staff where appropriate. Support the upper school and curriculum teams in preparing data and reports linked to student academic progress. Coordinate administrative arrangements for Sixth Form trips and visits linked to UCAS and career destinations. Supervise the Sixth Form Study Room to promote a quiet, purposeful, and productive working atmosphere.
- Wellbeing and Pastoral Support: Serve as the initial point of contact to triage student needs, referring individuals to Pastoral Support, Wellbeing, or academic intervention teams. Assist the attendance team with monitoring and recording student attendance on occasion. Liaise with the school wellbeing team to keep the Upper School Leadership Team updated on issues affecting Year 11 and Sixth Form students. Maintain regular contact with Pastoral Leads regarding student absence, welfare, or health issues. Contact parents and external agencies when directed by the Leadership Team or the Wellbeing Lead. Handle all complex wellbeing issues with extreme sensitivity, tact, and professionalism. Report all safeguarding concerns immediately to the Wellbeing Lead, Designated Safeguarding Lead (DSL), or Headteacher in accordance with strict school policy, maintaining absolute confidentiality. Maintain accurate, up to date records of student interventions and welfare meetings.
Person Specification:
- Qualifications and Experience: Proven experience in a school administration or educational support role (Experience working with young people is highly desirable). Demonstrated experience handling confidential, sensitive, and protected data.
- Skills and Knowledge: Excellent administrative, organisational, and time management skills. Outstanding written and verbal communication skills. Strong proficiency in Microsoft Office applications (Word, Excel, PowerPoint). High level of confidence using school Management Information Systems (MIS) for record keeping and reporting.
- Personal Attributes: Ability to work effectively under pressure and manage multiple competing deadlines simultaneously. Ability to handle complex and sensitive wellbeing situations tactfully and professionally. A strong desire to promote and demonstrate positive mental health and wellbeing within an educational setting.
