A Personal Assistant is required for a 6-8 month fixed-term contract.
The Team:
Housed within Knowledge, the PA/EA pool is a team made up of 7 PAs and EAs who support the C-suite, Partners, and Directors. They assist each other with holiday cover and ad hoc office support. The team has a breadth of experience inside and outside of Freuds Group, with strong camaraderie and care for one another. They have a can-do attitude and welcome like-minded additions.
The Role:
We are keen to hire a PA for an initial 6-8 months who has some office experience, ideally gained in a creative or similar environment. Key for this role is the ability to form relationships with multiple stakeholders, seamlessly juggle their ever-changing diaries, and ensure they all feel prioritised. We seek someone with a flexible approach, who is happy to get involved in new projects as they arise, and who has a positive, team-led approach to their work.
Key Responsibilities:
- Manage diaries, avoiding clashes and allowing prep/travel time
- Book and set up internal meeting rooms as needed
- Arrange international travel and ensure documentation is in place
- Primary contact for external clients and internal colleagues
- Process payments, POs, and other basic finance admin
- Draft and proofread documents; take accurate minutes
- Computer literacy: Strong MS Office skills (Outlook, Word, Excel, PowerPoint); working knowledge of Paprika and MS Teams (preferred)
- Support with PowerPoint preparation as instructed
- Assist with correspondence and minute-taking
- Build reports and ad-hoc analysis in Excel
Communication:
- Keep senior heads updated on meeting status and changes
- Confident with an array of personalities; calm under pressure
- Maintain a professional, polite, and helpful manner

Ad-hoc Duties:
- Deliver ad-hoc tasks and projects as requested
- Provide diary cover during PA/EA holidays or sickness
- Cover main reception as needed
- Support at internal and external parties including film premieres when required
