The Bart Haines and Lisa Durston Internship Programme – Events Administration Assistant Intern / Events and Sales Administration Assistant

In memory of Lisa Durston and Bart Haines , we are recruiting for an Events Intern for the Lisa Durston and Bart Haines Internship programme.

The twelve-month Events Administration Assistant Intern role is designed to provide the opportunity to work for Waterfront Conference Company.

This role will support across the preparation and delivery of conferences – supporting with the administration of the different elements of conferences (logistics, marketing and sales).

The primary function is supporting the event management but there will also be administration support for sponsorship sales.

  • Event Administration and Coordination
  • To support the work of Waterfront Conference Company to assist with running conferences, webinars and more.
  • To be responsible for events administration activity including but not limited to:
  • To support with management of the logistics and event administration for all events including – speaker communication, delegate management and communication, venue liaison, production of conference materials, and on‑site registration.
  • To support the team in all event administration preparation for events such as schedules, name badges, marketing collateral, on‑screen content and more.
  • Developing documents on Microsoft Office suite – both online and on a desktop, and CRM to manage activities and deadlines internally and for clients, all related to events management planning.
  • Delegate and Client Communications
  • Managing the delegate communications for events, from pre to post event – this will include responding to enquiries, answering phone calls, and sending out delegate communications.
  • Managing website updates with event and speaker information.
  • On‑site Event Delivery
  • Coming onsite to events and assist with registration and general event management duties.
  • Supporting the wider events team to ensure successful delivery of conferences, webinars and events.
  • Internal Team Collaboration and Administration
  • To work collaboratively with our internal teams (marketing, digital, creative, finance etc.) on any relevant administration elements.
  • Overseeing event stationery and materials inventory and flagging when any elements need replacing / replenishing.
  • Sales and Business Development Support

• To support with sales administration including

  • Making updates to CRM (Salesforce) to ensure the latest information is logged.
  • Supporting Business Development Manager with follow up emails and calls to warm leads.
  • Desk research to identify leads.
  • Quality and Compliance
  • To adhere to company ISO 9001 Quality Standards and associated processes.
  • To comply with all company policies on the FW Hub & Learn, including Employee Handbook, Health and Safety, GDPR, Equality and Diversity and Information Security requirements.
  • To ensure you are up to date with all AI policies issued by the company.
  • To ensure you comply with Cyber Essentials Plus duties as directed.
  • To undertake any other duties reasonably requested by the Line Manager
