Job Description:

The Knowledge & Information Services Assistant will support the firm’s Knowledge Lawyers and the lawyers in the international arbitration group (IAG) worldwide. They will be responsible for capturing knowhow and developing our internal knowledge collections, managing our external resources (online and in print), and guiding users, responding to queries, and supporting resources training.

The Knowledge & Information Services Assistant will be part of our global Knowledge & Information Services Team, led by the Global Head of Knowledge & Information Services. They will report to a Knowledge & Information Services Manager and work alongside other Specialists and Assistants.

The IAG is a truly integrated and global team with shared know-how, resources, and training. The role supports lawyers across multiple jurisdictions and collaborates on firmwide or cross-practice projects.

Overview of the function

Our global Knowledge function connects people and knowledge to enable our lawyers to provide market-leading client service, grow the firm’s business, and support legal skills development. Our Knowledge & Information Services team ensures access to curated knowledge collections and external resources, supporting research and current awareness.

Key responsibilities and deliverables

  • Knowledge & Insight capture: Ensuring insights and know-how from client mandates are captured, working with Knowledge Lawyers.
  • Current awareness: Supporting creation and sharing of updates on legal, regulatory, and market developments, including research, summarizing, and maintaining topics pages.
  • Knowledge collections management: Managing internal knowledge collections, uploading, tagging, curating materials, and creating topics pages.
  • Internal knowledge products: Supporting creation and updating of internal forms, templates, and practice notes.
  • Information on resources: Updating information on SharePoints and other tools.
  • External resource expertise: Understanding external online databases, guiding searches, setting alerts, and liaising with vendors.
  • Resources training and guidance: Training lawyers and colleagues on knowledge tools and external resources, developing e-learnings and guidance materials.
  • Research & signposting: Assisting users with searches, directing to resources, and responding to queries.
  • External resource management: Classifying new titles, updating library systems, and conducting audits. Occasional travel to London for library management.
  • Compliance with policies: Adhering to copyright and compliance policies.
  • Supporting external vendor management: Assisting with contracts, renewals, and purchase orders.

Key requirements

Essential:

  • Degree educated
  • Research skills
  • Highly IT literate, including Microsoft Office 365

Highly Desirable:

  • Degree in law
  • Knowledge of international arbitration
  • SharePoint skills
  • Experience in a law firm or legal environment
