Job Summary

Fresher Jobs Hub is seeking a detail-oriented and analytical Information Governance Analyst – Records and Access Controls to support effective information management, records governance, data access controls, and regulatory compliance across the organisation. This role is ideal for professionals who are passionate about data integrity, confidentiality, information security, and maintaining well-organised records throughout their lifecycle.

The successful candidate will help ensure that organisational information is created, stored, accessed, retained, archived, and disposed of according to established policies, legal requirements, and internal governance standards. The role involves working closely with information technology, compliance, legal, risk management, records management, and business operations teams to improve information governance practices and reduce risks associated with unauthorised access, inappropriate data retention, and poor records management.

The Information Governance Analyst will assist in implementing records management procedures, reviewing access permissions, maintaining documentation, monitoring compliance, and supporting audits. The ideal candidate should demonstrate strong organisational skills, sound judgement, attention to detail, and the ability to handle confidential information responsibly.

This position offers an opportunity to develop expertise in information governance, records lifecycle management, access control administration, data protection, and enterprise risk management while contributing to a secure and accountable information environment.

Key Responsibilities

1. Information Governance and Policy Management

Support the development, implementation, and maintenance of information governance policies, standards, procedures, and operational guidelines. Help ensure that information is managed consistently across departments and business functions. Review existing governance processes and recommend improvements to strengthen accountability, transparency, and compliance. Assist in maintaining information asset registers, records inventories, and documentation of information ownership. Communicate governance requirements to employees and relevant stakeholders.

2. Records and Information Lifecycle Management

Maintain accurate records of business documents, digital files, correspondence, reports, contracts, and other organisational information. Support the classification, indexing, storage, retrieval, archiving, and authorised disposal of records. Monitor records retention schedules to ensure information is retained for the appropriate period and disposed of securely when authorised. Help identify duplicate, outdated, incomplete, or improperly stored records. Support the implementation of records management systems and electronic document management platforms. Assist with legal holds, investigation requests, and preservation of records when required by authorised teams.

3. Access Controls and Permission Reviews

Review user access permissions to ensure that employees and authorised third parties have appropriate access to information and records. Support role-based access control processes and the principle of least privilege. Assist with access requests, approval workflows, periodic access reviews, and removal of permissions when access is no longer required. Maintain accurate documentation of access approvals, changes, exceptions, and revocations. Identify inappropriate access, excessive permissions, and potential segregation-of-duties concerns, escalating issues to the relevant teams. Coordinate with IT and security teams to support the timely resolution of access control discrepancies.

4. Compliance, Risk Management, and Audits

Assist in monitoring compliance with applicable data protection, privacy, records retention, and information governance requirements. Support internal audits, regulatory reviews, and compliance assessments by gathering relevant records and evidence. Maintain audit trails and documentation demonstrating compliance with internal policies and approved procedures. Identify potential governance gaps, records management weaknesses, and access control risks. Help prepare remediation plans and track corrective actions until completion. Escalate suspected data exposure, unauthorised access, missing records, or policy violations through established reporting channels.

5. Data Quality and Documentation

Validate records for accuracy, completeness, consistency, and appropriate classification. Maintain governance registers, access logs, exception reports, retention schedules, and control documentation. Prepare periodic reports highlighting compliance performance, outstanding access reviews, retention issues, and governance risks. Assist in updating process documentation and standard operating procedures. Use spreadsheets, reporting tools, and information management platforms to monitor records and access-related activities.

6. Stakeholder Collaboration and Training

Work with IT, legal, compliance, cybersecurity, risk management, and business teams to resolve information governance issues. Respond to internal queries relating to records retrieval, retention requirements, and access procedures. Support employee awareness initiatives on secure information handling and records management responsibilities. Assist with training materials and guidance documents that explain governance policies in clear, practical language. Promote a culture of responsible information ownership, confidentiality, and accountability.
