Our client is a full-service design and landscaping company providing design, build and ongoing care services, creating thoughtful, high-quality outdoor spaces for private and commercial clients across the UK. The Design Studio’s work spans the full design process, from consultation and concept design through to detailed technical drawings, planting plans, tender packages and final project delivery. They are seeking a Design Studio Coordinator to join their team at the Surrey Head office.
Who they are looking for: As the Design Studio Coordinator, you will hold a central role in the practice, so being able to hold your own in a dynamic design environment is paramount. You will need to be calm under pressure, proactive and solution focused. You need to be highly organised, detail-oriented and capable of ensuring the studio functions efficiently, while supporting the design team across projects and operations. You will need to demonstrate professional, confident verbal and written communication with clients, consultants, contractors and suppliers. You need to be motivated and independent in your work, with a real desire to collaborate in team efforts. A friendly, approachable, can-do attitude is key. You will have a genuine interest in garden design, landscape architecture, horticulture and the outdoor environment.
Key Responsibilities
- Studio Operations
- Oversee the smooth day-to-day running of the studio and act as a central point of coordination for the team
- Manage team diaries, meetings and key project deadlines
- Maintain studio systems including digital filing, project folders and shared drives
- Maintain studio templates, documentation systems and internal processes
- Manage office resources, software subscriptions and general studio administration
- Support design team members with other tasks and responsibilities
- Project Coordination
- Support the design team in coordinating projects at different stages
- Maintain project documentation, schedules and records
- Assist with preparing presentations, reports and meeting notes
- Help track project timelines and support internal workflow coordination
- Assist with preparation of tender packages and project information
- Client & Supplier Liaison
- Act as a professional first point of contact for clients, consultants and collaborators
- Coordinate meetings, site visits and project communications
- Liaise with plant nurseries, landscapers and specialist suppliers to obtain quotes, information and availability
- Financial & Administrative Support
- Assist with invoicing, fee tracking and timesheet records
- Support procurement processes and track orders where required
- Maintain CRM systems and studio records
- Marketing & Communications
- Support marketing activities including website updates, social media coordination and project photography
- Assist with awards submissions, publications and occasional studio events
Skills, Experience and Attributes
Essential
- Excellent organisational and communication skills
- Strong attention to detail and ability to manage multiple concurrent priorities
- Confident liaising with clients, contractors and suppliers
- Proficiency in Microsoft Office, including Teams
Preferred
- Experience working in a design studio, creative practice or construction-related environment
- Knowledge of CRM systems or project coordination tools
- Qualification / familiarity with design software such as AutoCAD, SketchUp or Adobe Creative Suite
- Proven interest in horticulture, landscape design, the outdoor environment.
