Job Overview
This role supports the HR team and assists in the smooth day-to-day running of all HR-related administrative matters. The successful candidate will support recruitment, onboarding, employee administration, learning and development, team coordination, diary management, and wider HR projects while contributing to a positive and collaborative team culture.
Key Activities and Responsibilities:
- Manage the diaries of the Global HR Co-Directors.
- Manage and complete any expenses of the Global HR Co-Directors.
- Meet and greet key internal and external stakeholders before meetings with the Co-Directors.
- Organise HR team meetings and sub-team catch-ups.
- Support and assist with travel arrangements for HR Territory Heads and Global Co-Directors.
- Liaise, coordinate, and manage incoming and outgoing HR-related invoices.
- Assist the HR team in answering first-line HR queries including self-service systems, employee benefits, references, policies, and HR contacts.
- Support onboarding and offboarding activities including employee folders, reference checks, right to work checks, preparation of offer materials, and ensuring a seamless employee experience.
- Meet and greet new employees on their first day and support the employee induction process by coordinating presentations, invitations, and schedules.
- Where required - complete reference letters, issue contractual changes via DocuSign, ensure signed copies are returned and saved on file, and chase outstanding documentation where required.
- Support recruitment processes including posting job roles, arranging interviews, scheduling meetings, and issuing offer templates.
- Support and coordinate internships, placements, and work experience opportunities.
- Maintain accurate and up-to-date employee records, HR data, and organisational charts, ensuring monthly updates are completed.
- Support wider HR initiatives including pay reviews, company surveys, and engagement activities.
- Liaise with the HRIS team on any system changes where support is required or generalists are at capacity.
- Provide general assistance with HR filing systems, both online and physical.
- Build strong relationships with internal teams and external providers.
- Assist in ensuring compliance with employment law and company policies.
- Provide ad-hoc administrative support and coordination for other HR-related activities as required.

- Experience with HR or payroll systems is advantageous.
- Previous experience in an HR or administrative role is desirable.
