The role: The Project Coordinator supports the Creative department, part of Global Communications & Marketing, across all projects, ensuring clear workflow, timely delivery of assets internally and externally, and organised communication between Creative, Marketing and Fremantle partners and clients.

Key Responsibilities:

  • Workflow & Project Management
    • Manage all incoming briefs in Monday.com
    • Ensure briefs are complete before assisting in assigning to the Creative team.
    • Assist in scheduling creative work based on priority, deadlines, and team capacity.
    • Maintain up‑to‑date project statuses in Monday.com.
    • Flag risks or delays early to the Head of Creative.
    • Join the Head of Creative in daily morning stand‑ups to review workload, deadlines, and risks.
  • Briefing Process Ownership
    • Act as the first checkpoint for all Marketing briefs.
    • Follow up with Marketing when key elements are missing (e.g., assets, messaging, positioning decks, specs).
    • Ensure all Box folders/asset links are included directly in the brief.
    • Ensure any references from Marketing are clearly included before Creative begins work.
  • Communication & Stakeholder Management
    • Communicate changes, deadlines, and feedback schedules clearly to Head of Creative, designers and editors.
    • Ensure stakeholders meet approval and feedback deadlines.
  • Asset & File Management (Support Only)
    • Maintain a clear, organised Box library for Creative and Marketing assets.
    • Coordinate with Marketing to ensure updated assets are available.
    • Ensure timely delivery of assets and communication to Fremantle partners and clients.
    • Ensure brief‑specific assets are in Box before Creative work begins.
    • Maintain and update a holiday calendar for scheduling and resource planning.
  • Annual Planning & Proactive Creative Scheduling
    • Work with the Head of Creative to build and maintain a 12‑month Creative Production Calendar.
    • Track upcoming launches and anticipate assets needs internally or externally.
    • Coordinate timelines for reactive creative.
    • Review the annual calendar weekly with the Head of Creative and proactively flag gaps, delays, or missing inputs.
  • Process Improvement
    • Maintain and strengthen the Creative briefing workflow across teams.
    • Identify bottlenecks and propose practical operational solutions.
    • Ensure Monday.com remains the single source of truth for Creative workflow.

Skills & Experience:

  • Essential
    • 1–3+ years in creative coordination, studio/project support, production office, or similar.
    • Highly organised with strong attention to detail.
    • Confident at following up and clarifying information diplomatically.
    • Experience managing schedules and deadlines in a busy environment.
    • Familiarity with design and/or video workflows.
    • Proficiency in Monday.com.
    • Ability to multitask and stay calm under pressure.
  • Preferred
    • Experience in entertainment, broadcast, advertising, or creative agency environments.
    • Understanding of briefing structures, brand systems, or campaign creative.
    • Knowledge of production or post‑production workflows.
