Job Description
Job overview
This is an exciting role within Fremantle, to see how people are using AI in their everyday roles, and then work to increase adoption across all back office functions.
We know that the organisations getting value from AI are not the ones with the best models, they are the ones who redesign workflows, put a named owner and budget behind adoption, build a visible role-modelling network, and track impact centrally.
This is exactly what we want from this role.
We want to find those pockets of experimentation across the business, test the usefulness and then get them embedded into other teams to drive efficiencies.
This role is all about processes, understanding them, and then helping back office teams (not production) work smarter
This is a hands-on lead, not a purely strategic or programme role.
The postholder needs a data background and the technical credibility to build alongside others in the business - prototyping agents, using AI-assisted coding to stand up working tools quickly, and automating solutions themselves.
Direct reports : AI Productivity Executive, AI Productivity Co-ordinator
Here you will get to
- Champion network & governance
- Initiates a monthly AI Productivity meeting with nominated champions from key head-office functions (Finance, Marketing, Legal, Comms and others) and communicates with local leads — one network where ideas and decisions get made and shared (Head Office Functional Productivity Group).
- Builds and chairs a fortnightly Head Office Productivity Working Group with IT, L&D, the Show Data Product Lead, Productivity & Data Infrastructure and the Group Finance AI Lead — unifying the key central areas responsible for productivity and AI, and coordinating one approach to the adoption of tools and practices.
- Business partnership & implementation
- Acts as the main point of contact between central productivity capability and the business, discussing with teams what they need, and taking proven solutions from one team and implementing them in others rather than leaving good ideas isolated.
- Works closely with Production AI Heads to keep central best practice and production-facing AI work aligned rather than running as two disconnected efforts.
- Works with the Bertelsmann AI Hub to bring in and push through useful training and tools, rather than duplicating effort already available at group level.
- Tooling, automation & the technology roadmap
- Partners with IT to ensure the right tools are in the hands of the right people for the right tasks, owning the productivity tooling roadmap and preventing duplicate or shadow purchasing across labels.
- Sets the strategic direction for automation and agentic workflows as part of the wider transformation, identifying where a process should be simplified, automated, or handed to an agent.
And defines the risk, quality and sign-off boundaries within which the team builds.
- Builds hands-on as well as directing: prototypes agents, vibe codes lightweight apps and scripts, and automates solutions end to end using tools such as Copilot Studio, Power Automate, Gemini Enterprise agents and Claude, then hands proven builds to the AI Productivity Exec to harden, document and scale.
- Manages the AI Productivity Exec, who is responsible for delivering the automation and AI projects this role identifies and prioritises.
- Capability, incentives & communication
- Works with HR's L&D team to build and maintain a clear upskilling plan, so capability-building is structured rather than ad hoc, and is pitched at the right level for different roles and seniorities.
- Owns the incentive and recognition mechanism for productivity gains (e. g. a running showcase or competition for the best automations), and is accountable for a single, findable communication channel for AI productivity (Useful GPTs, Claude Projects, Automations etc.), replacing the current mix of Teams, email and Spotlight.
- Tracks and reports impact on things such as adoption, time saved, tools live, back to the Head of Department and, where relevant, the CFO, so the programme's value is visible and defensible at Ex Co level.
- Other
- Builds a simple maturity framework so every label/team can see where they sit and what “good” looks like next, avoiding a one-size-fits-all rollout across very different markets.
- Represents Productivity AI in any cross-functional forum involving the Show Database / Data & Analytics teams, ensuring the two halves of the department pull in the same direction.
Qualifications
Essential
- A strong grounding in data, including SQL and / or Python, data modelling, APIs and both structured and unstructured data, enough to understand where data lives, how reliable it is and how an agent or automation should use it.
- Hands-on experience designing and building AI agents and agentic workflows (e. g.
Copilot Studio, Gemini Enterprise, Claude Projects or similar), including connecting them to business data sources.
- Confident using AI-assisted coding tools (e. g.
Claude Code, Git Hub Copilot) to prototype and ship lightweight tools quickly, with the judgement to know when a prototype needs proper engineering, security or IT review before it goes live.
- Practical experience automating business processes with tools such as Power Automate, Power Apps or Logic Apps.
- Able to move easily between business problems and technical solutions, credible with both senior stakeholders and engineers.
- Proven experience line-managing and developing a small team, including setting clear objectives, running 1:1s and performance reviews, and growing people’s technical and business skills.
- Experience setting up a team from a standing start, including hiring, onboarding, defining roles and establishing ways of working.
- A track record of prioritising and allocating work across a team, balancing quick wins against longer projects, and coaching others to build rather than doing it all yourself.
- Proven experience driving real adoption of new tools or ways of working across a complex, federated organisation, not just launching them.
- Able to map and analyse a workflow with the team that owns it, and decide whether it should be simplified, automated or handed to an agent.
- Able to influence senior stakeholders and peers without direct authority, across head-office functions, labels and IT.
- Experience building and running a community of practice or champions network that keeps going beyond launch.
- Experience setting baselines and tracking benefits such as adoption, time saved and cost, then presenting a defensible impact case to senior finance stakeholders.
- A working knowledge of AI risk, data protection (GDPR), information security and IP, enough to set sensible guardrails on what goes live.
- Experience running governance forums and a roadmap with competing priorities, delivering to agreed deadlines.
- An excellent communicator who can make AI practical and unintimidating for non-technical audiences, present confidently to execs, and design or deliver upskilling at different levels.
Desirable
- Experience in media, entertainment or a production business.
- Experience working across both Microsoft 365 and Google Workspace environments.
- Familiarity with administering and governing enterprise AI platforms (e. g. Copilot licensing, Gemini Enterprise).
- Experience working alongside a group or parent-company AI function.
- Relevant certifications (e. g. Microsoft Power Platform, Azure AI).
- Additional Information
Our benefits include generous company pension, summer Fridays, audience tickets, employee assistance program, access to free courses and training, EV scheme, cycle to work scheme, season ticket loan, business coaching sessions and volunteer days.
