Freightserve recruitment are looking for a Transport Assistant for a well-established niche sector Freight Forwarder based in the Feltham, Middlesex area.
Key Responsibilities:-
Co-ordinate and manage the company's daily movements across the UK.
Receive, review and process movement instructions and ensure all relevant information is accurately recorded.
Plan and organise deliveries and collections in accordance with customer requirements, agreed schedules and operational capacity.
Liaise with drivers and transport providers to allocate movements and communicate relevant instructions.
Monitor the progress of movements from collection through to delivery.
Maintain regular communication with drivers, customers, suppliers and internal teams throughout the movement process.
Ensure that delivery and collection requirements, timings, locations and any specific instructions are clearly communicated.
Monitor planned movements and identify potential delays or operational issues at the earliest opportunity.
Take appropriate action to minimise disruption and ensure movements remain on schedule.
Arrange alternative solutions where required due to vehicle availability, delays, breakdowns, cancellations or other unforeseen circumstances.
Ensure completed movements are accurately recorded and all relevant documentation is obtained and processed.
Assist other departments, such as the warehouse & driving teams, when requested to do so by your line manager.
Act as a key point of contact for customers and suppliers in relation to domestic movements.
Respond promptly and professionally to operational queries.
Provide customers with updates regarding the status of their movements where required.
Build and maintain effective working relationships with customers, suppliers, hauliers and other relevant third parties.
Escalate significant operational issues or customer concerns to the appropriate manager.
Work with suppliers and transport providers to ensure agreed service levels are maintained.
Ensure all operational systems and records are kept accurate and up to date.
Check movement details, delivery information and supporting documentation for completeness and accuracy.
Process and maintain delivery notes, proof of delivery documentation and other relevant operational records.
Ensure discrepancies or missing documentation are followed up and resolved promptly.
Assist with the accurate processing of operational and transport-related information for invoicing and reconciliation purposes.
Maintain organised records in accordance with company procedures and document retention requirements.
Ensure movements are carried out in accordance with company policies, procedures and applicable UK legislation.
Follow all relevant health and safety, transport, security and operational procedures.
Ensure appropriate checks and documentation are completed before movements are undertaken where required.
Report accidents, incidents, near misses, damage, losses or other operational concerns promptly.
Raise any compliance or safety concerns with the appropriate manager.
Support the Company in maintaining appropriate standards of security and control throughout the movement process.
Proactively identify and resolve operational issues wherever possible.
Respond effectively to changes in customer requirements, schedules and operational priorities.
Manage competing priorities in a fast-paced operational environment.
Escalate issues appropriately where they cannot be resolved within the scope of the role.
Support colleagues across the Operations team during periods of increased workload.
Assist with improving operational processes and identifying opportunities to improve efficiency, service and cost effectiveness.
Required experience:-
Previous experience in an operations, logistics, transport or co-ordination role.
Strong organisational and administrative skills.
Ability to manage multiple movements and priorities simultaneously.
Excellent attention to detail.
Good verbal and written communication skills.
Ability to work effectively under pressure and to tight deadlines.
Strong problem-solving and decision-making skills.
Good IT skills and confidence using Microsoft Office, Google suite and operational systems.
Ability to communicate effectively with drivers, customers, suppliers and colleagues.
A proactive and practical approach to resolving operational issues.
Ability to work both independently and as part of a team.
Full UK driving licence.
