Role Overview
The Shipping Coordinator is a pivotal member of the Operations team, responsible for the end-to-end management of artwork shipments, both inbound and outbound. This role requires meticulous attention to detail, strong negotiation skills, and effective communication to ensure that all shipments are executed to the highest standards, in full compliance with local and international regulations, and in alignment with bespoke client requirements.
Main Responsibilities
- Obtain shipping quotes from approved shippers for both inbound and outbound shipment of artwork, ensuring the most suitable and cost-effective options are sourced for each project.
- Negotiate bespoke shipping costs for complex shipments and installations, with the aim of delivering value for clients whilst maintaining the highest standards of service.
- Manage each individual shipment to accommodate unique client needs, including but not limited to:
- Packing specifications (Fine Art and Courier standards)
- Preparation of all necessary paperwork, including accurate Customs documentation
- Liaison with relevant regulatory bodies, both domestic and international
Key Skills & Competencies
- Strong organisational and time management skills, with the ability to manage multiple shipments simultaneously
- Excellent negotiation and communication skills, at all levels
- Keen attention to detail and accuracy in paperwork and compliance matters
- Problem-solving ability and a proactive approach to troubleshooting shipment issues
- Solid understanding of shipping regulations, including Customs, Export and CITES requirements
- Ability to work collaboratively across teams and build effective working relationships
- Flexibility to adapt to changing project demands and client requirements
Qualifications & Experience
- Previous experience in a shipping clerk role, within the fine art/luxury logistics sector essential
- Familiarity with Customs, Export, and CITES documentation and procedures
- Competent IT skills, including experience with shipment tracking systems and Microsoft Office Suite
Salary & Benefits
Salary £28,000 to £35,000 plus benefits
Reporting Line
The Shipping Coordinator reports directly to the Head of Department and works closely with all relevant internal teams.
