This is a varied role combining office-based project administration with the opportunity to work across a number of Light Trail events throughout the UK. Approximately 50% of your time will be based at our Gloucester HQ (GL2 2RN), with the remaining 50% involving travel to event locations around the UK. If you have strong administration skills, enjoy working in a fast-paced environment and are comfortable communicating with suppliers, vendors and customers, we'd like to hear from you.

What You'll Be Doing

  • Liaising with suppliers, vendors and customers by telephone and email.
  • Requesting and retrieving supplier quotes.
  • Gathering dimensions, specifications and other information required by the project team.
  • Collating and maintaining accurate project information.
  • Raising Purchase Orders (POs).
  • Supporting the project team with supplier and event administration.
  • Helping ensure actions and information are progressed efficiently and on time.
  • Providing general project and event administration support as required.

A company laptop and mobile phone will be provided.

What We're Looking For:

  • Strong organisational and administrative skills.
  • Excellent attention to detail.
  • Good written and verbal communication skills.
  • Confidence communicating professionally with suppliers, vendors and customers.
  • Proficiency in Microsoft Excel, Outlook and Teams.
  • The ability to manage multiple tasks and changing priorities.
  • A flexible approach to working hours and locations.
  • A full UK driving licence.
  • Access to your own vehicle.
  • Previous experience using Sage X3 would be advantageous but is not essential.

Hours & Working Pattern:

The role averages 37.5 hours per week, working 5 days out of 7. The majority of working weeks are expected to be Monday to Friday. However, due to the nature of our events, flexibility is essential. There will be periods when you are required to work Saturdays and/or Sundays. Where weekend working is required, days off will be provided during the week or through an alternative agreed working pattern. Standard office hours are approximately 8:30am to 4:30pm, although some flexibility around start and finish times will be necessary depending on project and event requirements.

Travel:

This role requires regular travel to Light Trail event locations throughout the UK. You must be able to drive and have access to your own transport. Approved travel from Gloucester HQ to event locations will be reimbursed. Applicants should be comfortable with the travel requirements of the position and able to offer full commitment to the role through to the end of 2026.
