Summary The Project Coordinator works closely with producers, project managers and technical production managers to provide project and administration support. This role is eligible to work a hybrid schedule, generally requiring work in-office one day a week (typically Wednesdays) at our London location.

Essential Duties & Responsibilities

  • Assists members of the Production Team with tenders, pitches and live projects, as required
  • Contributes to brainstorming discussions
  • Manages web-based communication tools on live projects, as required
  • Assists the production team with requirements such as: meetings / trips (flights, trains, taxis, accommodation etc), meeting minutes, preparation of agendas / post event reports
  • Joins project weekly team and client meetings
  • Monitors services & activities to ensure they are within budget
  • Creates production budgets and timelines associated with assigned proposals. Monitors costs and resource allocation to ensure they are within budget
  • Research, source and manage suppliers and ensure contractors and suppliers have been vetted and approved through Freeman policies and procedures prior to them being engaged
  • Maintain consistent and thorough communication with all levels of employees, contractors, suppliers, and Freeman divisions
  • Maintain confidential and sensitive information and files, correspondence and records
  • Performs other duties as assigned
  • Budget support / PO raising and issuing
  • General project support

Education & Experience

  • 1+ yr event agency experience in a similar role
  • Proficient in Office Suite (Excel, Word, PowerPoint, Outlook)
  • UK National or relevant permissions to work in the UK
  • Exhibits an outgoing, upbeat personality, enjoys working as part of a team, and is efficient, considerate, and organized, with a keen eye for details
  • Travel Requirements Travel up to 25%
