Anna Freud is looking for a Training Conferences and Events Officer.

Job Description

The Training, Conferences and Events team co-ordinates our training and event offer, which is primarily aimed at allied mental health professionals. The trainings typically span one to five days, and content ranges from teaching specific therapeutic methods for working with people, to helping professionals gain deeper understanding of types of patient behaviour, through to research methods.

Our events are typically free, disseminating best practice to wider audiences. The team oversee a wide-range of operational processes, such as trainee applications, new course proposals, trainer and supervisor management, payments, contracts, onboarding attendees, e-learning platform management, pre and post course work, supervision, accreditation, and quality and monitoring.

You will join a friendly and supportive team and will also work with colleagues from across the organisation. The appointment will be a centrally important role in relation to the team’s effective operation, and the successful candidate will work across the Training, Conferences and Events team to provide administrative support, as well as supporting with specific training programmes.

Responsibilities

Training, Conferences and Events Coordination

  • Takes responsibility for the successful delivery of training, conferences and events (online, in-person, hybrid) by careful scheduling and organising, including liaising between internal and external stakeholders.
  • Facilitate training, conferences and events, supporting AV/IT setup and troubleshooting on days of delivery.

Administrative and Operational Support

  • Oversee and act as the administrative lead for certain training and event programmes, including maintaining and developing effective administrative systems.
  • Provide comprehensive administrative and logistical coordination and support before, during and after training and event sessions.
  • Responsibility for processing training and event bookings and applications, distribute invoices, monitor payments.
  • Under the direction of the Lead, ensure trainings and events registrant numbers are viable.
  • Responsible for administrative support to trainers and speakers, including offering Zoom user guide sessions, updating documents, and booking travel and accommodation while ensuring alignment with budget requirements.
  • Organise specific team meetings, including compiling agendas, minute-taking, and disseminating information.
  • Provide cover for other team members when necessary.

Data Management and Systems Management

  • Update and maintain our systems and databases related to training, conferences and events, ensuring all information recorded is accurate and consistent to support reporting on, and delivering our, activities.

Stakeholder and Tutor Liaison

  • Provide a high-level of customer service when managing and responding to a high volume of email and phone inquiries related to training, conferences and events.
  • Develop and maintain strong relationships with trainers, supervisors and commissioners to plan, schedule and deliver training, conferences and events.
