We are a fast-growing company looking for a highly organized, proactive, and reliable Virtual Operations Manager to help streamline our daily operations and team coordination. You will act as the key person to keep our team on track, reduce the need for the founder to micromanage, and ensure smooth execution of tasks.
Key Responsibilities:
- Run our daily morning leadership/check-in meeting minutes via Zoom or Google Meet β set the agenda the day before, facilitate the call, take notes, and follow up on action items.
- Manage and delegate tasks in ClickUp β monitor dashboards, assign tasks, chase updates, and ensure nothing falls through the cracks.
- Track progress on key projects and provide short daily/weekly summary reports to the founder.
- Help build and maintain standard operating procedures (SOPs) for recurring processes.
- Coordinate between team members, flag blockers early, and escalate only when truly needed.
- Occasionally handle light executive admin tasks (calendar management, email filtering, research, etc.).
Requirements:
- Proven experience as a Virtual Assistant, Operations Coordinator, Project Manager, or similar role.
- Strong familiarity with ClickUp (or willingness to master it quickly β we will provide access and guidance).
- Excellent English communication skills (written and verbal).
- Extremely organized, systematic, and detail-oriented.
- Self-starter who takes ownership β you spot what needs doing and do it without constant direction.
- Reliable internet, quiet workspace, and availability for a morning check-in (we're flexible on time zone, but ideally overlap with US mornings).
- Ability to work independently and proactively drive results.
Nice to Have:
- Experience running stand-up or daily team meetings.
- Familiarity with tools like Google Workspace, Slack, Zoom, Asana, or Trello.
- Experience supporting startups or working with remote teams.
Rate: $5β$20/hour depending on experience and performance (paid via Upwork).
Hours: Flexible β starting at 20β30 hours/week with potential to grow to full-time for the right person.
