Role overview

I'm looking for a reliable part-time PA/admin assistant to support my exhibition display business on a light, flexible basis. This is mainly admin and customer support work, with the key requirement being that you can answer calls during UK business hours when they come in. Workload will vary – some days may be busy, others very quiet – so this suits someone who already works from home and can fit in 1–2 hours of focused tasks most days.

Core responsibilities

  • Customer & phone support
    • Answer incoming phone calls between 9am and 5pm UK time, Mon–Fri (not constant, but be reachable).
    • Take clear messages, gather basic information, and reassure customers their query will be handled.
    • Reply to customer emails promptly (using correct UK spelling and grammar).
    • Respond to occasional website live chat messages during the open hours.
  • Admin & coordination
    • Do light admin tasks as needed (a couple of hours per day on average), such as:
    • Updating order notes and status.
    • Sending and chasing artwork proofs (liaising with the artwork team).
    • Booking calls into my calendar when customers need to speak with me.
    • Keeping a simple log of open enquiries and what's needed next.

Important notes about the role

  • This is not a full-time role – it’s sporadic, part-time support, ideal alongside other remote work.
  • There is no sales target or cold calling. You are simply helpful, organised, and professional on the phone and email.

Requirements

  • Experience as a virtual assistant / admin assistant / PA.
  • Excellent spoken English and UK spelling/grammar.
  • Confident, polite phone manner with UK customers.
  • Good email etiquette and attention to detail.
  • Ability to be reachable for calls Mon–Fri 9am–5pm UK time, even if actual paid work averages 1–2 hours per day.
  • Reliable internet and a quiet environment for calls.

How to apply

Please apply via Upwork only and include:

  • Confirmation you can be available for calls Mon–Fri, 9am–5pm UK time.
  • A brief summary of your PA/admin experience (especially phone + email).
  • Your current main work situation (so I understand how this part-time role fits in).
  • A short example of a professional email you would send to a customer to acknowledge their enquiry.

We can discuss exact monthly rate and structure (fixed vs hourly) with shortlisted candidates, based on realistic workload and availability. Contract duration of more than 6 months.

Mandatory skills: Virtual Assistance, Administrative Support, Customer Service, Email Communication, Data Entry, calendar management, live chat support, Phone Communication, Ecommerce, Google Workspace
