We are a fast-growing customer service & backend operations agency supporting international e-commerce brands. We manage and optimize the entire backend for our clients β from customer support and dispute management to supplier coordination and reporting. We are structured, process-driven, and focused on execution quality. Our clients rely on us to build clean, reliable operational systems.
We are now looking for an Onboarding & Operations Coordinator to take full ownership of how new clients, stores, suppliers, and team members are implemented into our systems. This is a critical role inside the company.
The Role
As our Onboarding & Operations Coordinator, you are responsible for making sure every new setup is executed flawlessly. When a new client signs β you build the operational structure. When a client opens a new store β you implement it correctly. When a supplier switch happens β you coordinate the transition. When a new team member joins β you ensure they are fully set up and ready to go. You protect structure. You prevent mistakes. You ensure nothing falls through the cracks. There are many steps in our workflows. Some apply in certain situations, some donβt. Your job is to always follow the SOP carefully and double-check everything. Mistakes in this role directly affect:

Responsibilities
- Managing full onboarding workflow for new clients
- Setting up Slack channels (client, internal team, operations)
- Creating and organizing onboarding documents & sheets
- Coordinating contracts and onboarding invoices
- Managing system access (Slack, CRM, Hypervault, Apploye, Google Workspace)
- Collecting and organizing login credentials
- Coordinating supplier onboarding and supplier switches
- Updating CRM accurately
- Ensuring all checklists are completed before onboarding is finalized
- Monitoring active onboarding boards/sheets daily
- Sending internal updates after each completed step
- Supporting new team member setup and access management
- Creating insights reporting when required
- Following and improving SOPs
You will work closely with the founder and operations manager but are expected to execute independently.
