- Purchase Ledger Assistant in our
- Ipswich
Head Office on a three-month fixed-term contract .
Working on a hybrid basis, you will be responsible for ensuring timely and accurate payment of suppliers in accordance with properly approved invoices, as well as accurate maintenance of supplier accounts.
Main Tasks & Activities
- Post invoice interfaces.
- Send internal reminders to chase invoice approvals.
- Go through emails from ships/Oslo technical teams to ensure we receive responses/invoice approval in timely manner, and chase if no response has been received.
- Close MXP invoices to level 0.
- Check that invoices in MXP are appropriately approved and ticked to interface.
- Raise prefunding payments and monitor prefunding email inbox.
- Respond to basic email queries, requests for remittance advice etc.
- Reconciling supplier statements.
- Assist with verifying invoices in Softco Capture to ensure invoice details are read correctly.
- Monitor email inbox and send invoices to invoice capture queue.
- Monitor Softco queues to ensure queries are dealt with and invoices coded correctly.
- Reconciling supplier statements.
About You
- Previous purchase ledger experience.
- Basic understanding of accounts functions and processes.
- Previous experience of reconciliations work.
- Understanding of port agent disbursements/invoicing.
- Basic Excel knowledge.
- Excellent attention to detail and accuracy of input.
- Act with tact and diplomacy.
- Steady under pressure.
- Good communicator both orally and written when dealing with suppliers.
- Able to plan own workload and take the initiative.
This is a full-time, fixed-term role for a period of three months. You would work 35 hours per week on a hybrid basis, 9am to 5pm, Monday to Friday.
