Service Operations Coordinator
Our client is a growing technology services organisation supporting customers with the secure and reliable operation of their digital infrastructure.

Service Operations Coordinator to join a collaborative service-focused team.
This is a varied role combining operational administration, service renewals, logistics coordination, asset management and supplier engagement.
Working within a small team, you will help ensure operational processes run smoothly, customer commitments are delivered on time, and service and asset information remains accurate and up to date.
The role offers scope to develop professionally, take on additional responsibilities and contribute to improving processes as the function grows.
The Role
This position would suit an experienced administrator or coordinator who enjoys working in a fast-paced environment and managing multiple priorities.
Previous experience within cyber security, IT services, managed services or a similar technology environment is essential.
You will coordinate a range of operational activities, including service renewals, logistics, asset administration, supplier engagement and general service support.
The successful candidate will be organised, detail-oriented and proactive, with the confidence to investigate issues, work independently and coordinate effectively across different teams and stakeholders.
Key Responsibilities
- Service Renewals & Contract Administration
- Managing service, maintenance and support contract renewals.
- Monitoring renewal schedules and ensuring activities are completed within agreed timescales.
- Coordinating renewal opportunities, pricing, approvals and supplier quotations.
- Supporting queries around service coverage and entitlements.
- Liaising with vendors and distributors to obtain quotations and resolve commercial queries.
- Maintaining accurate contract and renewal records.
- Logistics & Operational Coordination
- Coordinating customer deliveries, collections and warehouse activities.
- Tracking shipments and monitoring delivery timescales.
- Supporting UK and international logistics requirements.
- Liaising with suppliers, distributors and courier partners.
- Coordinating urgent or customer-critical operational requirements.
- Supporting warehouse and equipment preparation activities where required.
- RMA & Warranty Administration
- Managing hardware returns and warranty cases from initiation through to completion.
- Coordinating replacement equipment, returns and collections.
- Maintaining accurate documentation and records.
- Liaising with suppliers, manufacturers and logistics providers.
- Import, Export & Compliance
- Supporting import and export activities and associated documentation.
- Coordinating customs information with relevant stakeholders.
- Supporting export control and regulatory requirements.
- Assisting with import VAT, PVA and customs processes.
- Working with Finance, suppliers and external partners to ensure requirements are met.
- Asset & Entitlement Management
- Maintaining accurate hardware, serial number and asset records.
- Verifying support entitlements and contract coverage.
- Ensuring newly deployed equipment is correctly registered.
- Investigating discrepancies and resolving data-quality issues.
- Maintaining accurate audit trails and operational records.
- Stakeholder Coordination
- Acting as a key coordination point between customers, suppliers and internal teams.
- Working closely with Sales, Finance, Operations and Technical functions.
- Chasing approvals, updates and outstanding actions.
- Escalating issues and supporting timely resolution.
- Providing stakeholders with regular updates on renewals, operational activity and customer requests.

You will be highly organised, dependable and proactive, with strong attention to detail and the ability to manage several priorities simultaneously.
Essential experience and skills
- Previous experience in administration, operations, service coordination or business support.
- Experience within
IT services, technology, managed services or cyber security .
- Excellent attention to detail and confidence managing complex information and documentation.
- Strong organisational and prioritisation skills.
- Ability to manage multiple workstreams effectively.
- Excellent written and verbal communication.

- Experience using operational, procurement, order management or service management systems.
- Good working knowledge of Microsoft 365.
