About the role
This is an existing role within our Talent team.
You'll be the welcoming face of talent and the very first point of contact for everyone joining us.
You'll play a vital role in keeping our department running seamlessly by leading onboarding, conducting inductions, and running training for new joiners.
In this role, you will build strong working relationships across the studio, acting as the key link between our team, HR, and Systems to keep everyone aligned on start dates and kit requirements.
You'll also manage seating for the department and keep crucial attendance and absence records up to date.
We operate a hybrid working policy, requiring 3 days a week in our London studio for this role.
Studio attendance on Mondays is mandatory so you can welcome and induct our new joiners in person.
We are looking for someone proactive, flexible, and deeply trustworthy who approaches sensitive and confidential information with care and complete discretion.

- Manage all seating arrangements for the Advertising, Episodic and Immersive teams.
- Partner closely with HR and Systems teams to manage expectations around new starter dates, equipment, and kit requirements.
- Build and maintain strong working relationships across HR, Systems, and wider studio departments.
- Maintain accurate absence and studio attendance records, pulling key data reports whenever required.
- Stay flexible and adopt a hands-on approach to ad hoc admin tasks, helping out during busy periods or providing holiday cover.
- Support the production finance process alongside our Production Operations Coordinator.
- Coordinate travel, accommodation, and couriers for talent events and operational needs.
- Help set up training sessions, attend team meetings, and take clear notes.
- Utmost discretion, maturity, and professionalism when handling sensitive data, including salaries, performance details, and personal matters.
- A proactive, solution-oriented mindset with plenty of initiative.
- A flexible attitude and the ability to adapt quickly to changing priorities or ad hoc requests.
- Advanced skills in Google Suite.
- Excellent communication skills with a clear, friendly, and approachable manner.
- Exceptional organisational skills with a keen eye for detail.
- Ability to work effectively under pressure in a fast-moving environment.
- A reliable, responsible attitude and strong work ethic.
Desirable Skills
- Previous experience in an administrative role within a studio, agency, or creative environment.
