The Hinkley Point C (HPC) Project is strengthening its on-site team and is seeking a Site Admin Assistant.
Main Responsibilities
- Daily Administration: Perform routine administrative tasks to support the smooth running of the site.
- Assist Site Managers: Assist Site Managers with various admin tasks on a daily basis.
- Support project management: Support the project management team to optimise their activities.
- Training matrix: Ensure Training matrix is kept up to date.
- Organise training: Organise training for the new starters and ensure evidence of training is gathered and updated on the Training Matrix.
- Update employee list: Ensure Employee list is kept up to date with all new starters and leavers.
- Induction: Present Framatome 15 minutes induction/welcome pack to new starters.
- Visitor Management: Book visitors to the site and ensure proper documentation is in place.
- Reception Duties: Meet and greet visitors at reception, providing a professional and friendly first impression.
- Escort visitors: Escort visitors around the site as required.
- HR1 building visits: Organising HR1 building visits and requesting site access for visitors.
- Transport booking: Order taxis / transportation when visitors.
- Stationery and Supplies: Maintain and manage stationery stocks, placing orders as needed.
- Scanning and printing: Scanning and printing.
- Travel Arrangements: Arrange business travel for the management team, including tickets, hotels, taxis, and visas.
- Car park registration: Request car registrations for the car park.
- Event Coordination: Coordinate with Framatome, clients, and contractors to organise on-site events, meetings, and training sessions.
- Meeting logistics: Plan and organise meetings, including booking rooms and ordering catering when necessary.
- Financial Administration: Assist with budgeting, expense tracking, and financial reporting as required.
- Invoice processing: Process invoices, purchase orders, and expense claims in accordance with company procedures.
- Onboarding/Vetting Support: Liaising with new companies / starters regarding the on-boarding process.
- French worker induction: Liaising with Framatome France to induct and support new French workers through the vetting process.
- BPSS data entry: Data entry from the latest BPSS into the HPC WIMS database to process the vetting process.
- Staff competency: Ensuring staff are vetted, inducted and competent ready for their works start date to prevent delays to program.
Salary & Allowance: Salary £27,000 - £33,000, Plus site allowance subject to terms and conditions.
Profile
- Organisational Skills: Ability to handle multiple interfaces and work within a transversal organisation.
- Administrative Experience: Proven experience in managing various administrative tasks efficiently.
- Communication & Collaboration: Excellent communication and collaboration skills, working effectively with other administrative staff, management, and clients.
- Confidentiality: Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
- Adaptability: Flexible, friendly, and adaptable to changing circumstances and priorities.
- Proactivity: Proactive and dynamic, with a willingness to take on various tasks and responsibilities.
- Technical Proficiency: Proficient in using office software applications, including Microsoft Word, Excel, and PowerPoint.
- Office Administration: Previous experience in office administration, preferably in a fast-paced environment.
- International Experience: Experience in an international and multicultural environment (highly desirable).
- WIMS Database: Knowledge/experience in WIMS Data Base (desirable but not essential).
- French Language: Ability to work and interact in French (desirable but not essential).
Location: Site based role (in person) – Full-time position with standard working hours, flexibility may be required to meet operational needs.
