About The Role

An exciting opportunity has arisen to join Foxtons as an Administration Assistant, supporting our Procurement & Facilities team. This role offers exposure to a wide range of business functions, making it ideal for someone who enjoys staying organised, solving problems, and working collaboratively in a busy team.

The Role

As an Administration Assistant, you'll play a key role in supporting the day-to-day operations of the Procurement & Facilities department, helping to ensure our offices and teams have everything they need to succeed.

Key Responsibilities

  • Providing general administrative support, including managing emails, telephone enquiries, and data entry.
  • Assisting with procurement processes and supplier administration.
  • Supporting facilities management activities across the business.
  • Monitoring and managing issues reported through our facilities software platform, MaintainX.
  • Processing approved purchase requests and raising purchase orders.
  • Recording and processing supplier invoices for payment accurately and efficiently.
  • Building strong working relationships with internal departments, contractors, and suppliers.
  • Responding to queries promptly and maintaining accurate records.
  • Coordinating with contractors and suppliers as required.
  • Keeping stakeholders informed and ensuring effective communication across the team.
  • Providing support and cover for colleagues when needed.
  • Assisting with ad hoc projects and administrative tasks.

Skills & Experience

  • Excellent numeracy and literacy skills.
  • Good working knowledge of Microsoft Office, including Word, Excel, and Outlook.
  • Previous experience in an administration, operations, or finance environment is beneficial but not essential, as full training will be provided.
