Heroic Group Limited is seeking a high‑capacity, execution‑driven Executive Assistant to support the Founder, President & CEO across a diverse portfolio of companies, including construction, logistics, maritime operations, and strategic investments. This is not a traditional administrative role — it is a role for someone who thrives in fast‑moving environments, brings structure to complexity, and ensures that priorities, projects, and communication flow are always under control. What You’ll Do
- Executive Support
- Manage the CEO’s calendar, meetings, and weekly operating rhythm
- Prepare agendas, briefing notes, and follow‑up summaries
- Draft and manage high‑level business communications
- Track decisions, approvals, and outstanding action items
- Ensure the CEO is fully prepared for all engagements
- Project Management
- Track key initiatives across construction, logistics, and strategic projects
- Maintain project timelines, deliverables, and risk logs
- Hold teams accountable to deadlines and KPIs
- Provide weekly status updates and escalation reports
- Assist in implementing SOPs and workflow systems
- Financial & Administrative Support
- Support invoice tracking, AR/AP coordination, and collections follow‑ups
- Assist with cash flow tracking and financial summaries
- Liaise with Finance to ensure timely reporting and accurate expense tracking
- Prepare basic dashboards and budget‑vs‑actual summaries
- Communication & Business Operations
- Act as a central coordination point across departments and consultants
- Follow up on proposals, quotes, contracts, and client deliverables
- Maintain CRM or business development pipeline tracking
- Strengthen communication flow and alignment across the organization
- Systems & Process Optimization
- Identify inefficiencies and recommend improvements
- Implement tools for task management, financial tracking, and communication
- Help build a structured, scalable operating system for the Office of the President
