A leading international design agency is looking to find a confident, capable and proactive PA/Office Manager to support the London office and act as a key liaison with their Dubai-based team.
This is a pivotal and continually developing role at the heart of a dynamic, entrepreneurial environment. You’ll provide high-level PA support to the Founding Partner (based between London and Dubai), occasional assistance to another senior leader, and ensure smooth day-to-day running of the studio. You will need to be able to think on your feet, have exceptional problem solving skills and be super flexible.
This is more than just diary management. You’ll be the trusted go-to for a busy, fast-paced leader — managing scheduling across time zones, ensuring logistics run smoothly, and occasionally stepping in to support with personal matters or property-related errands. At the same time, you’ll take ownership of the office environment — handling suppliers, setting up internal events and training, and keeping everything running efficiently.
Key Responsibilities
- Executive PA support to the Founder & Directors – extensive diary, travel and meeting coordination
- Monitor emails and respond on their behalf
- Remind Directors of tasks / deadlines / meetings
- Help complete timesheets and expenses on a monthly basis
- Liaison with the Dubai-based Office Manager to ensure aligned scheduling across locations
- Hands-on Office Management – managing relationships with suppliers, managing inventory of office supplies, ensure compliance with H&S.
- Booking training, overseeing onboarding, and supporting team wellbeing
- Support Operations Director with all office and IT operations
- Occasionally assisting with personal admin or property-related tasks in London
- Support Head of People, Culture & Engagement with scheduling interviews, onboarding materials, induction set up
About You
- At least 2–4 years’ experience in a PA or Office Manager role, ideally in a creative agency or design studio – something fast paced and creative!
- Highly organised, assertive and able to hold your own with senior leadership
- Comfortable with a varied role that blends PA, office ops, and team culture
- Confident managing a strong, entrepreneurial personality with professionalism and calm
- Discreet, adaptable and trusted to manage confidential matters with maturity
- Tech-savvy, great with details, and happy to take ownership of tasks from start to finish
- Bring your positive energy every day and your love for engaging with others and bringing the studio to life
This position is office based 5 days per week in central London – half day finish on Fridays
