Purpose of the role: The Retail Operations Coordinator plays a key role in supporting the day-to-day operations and overall efficiency of global retail stores. This position coordinates communication, manages administrative tasks, oversees stock control, and ensures that company operational standards are consistently upheld. Acting as a vital link between head office and store teams, the coordinator helps implement strategies, processes, and tools designed to enhance store performance, elevate the customer experience, and drive operational excellence. The ideal candidate demonstrates strong organisational, communication, analytical, and problem-solving skills.
Main duties and responsibilities:
- Communication: Daily management of the Retail Ops inbox, ensuring queries are answered and filed away correctly. Compile a weekly newsletter (Agent Mail) to global stores and selected HQ personnel. Serve as a main point of contact between global retail stores and Head Office. Distribute store communications and company updates in a timely and organised manner. Contact external suppliers with queries relating to store needs. Communicate new training materials to global stores. Compile and present the product/campaign training calls to global stores monthly. Undertake store visits and training as and when required. Attend weekly and ad hoc meetings as well as writing the minutes and sharing with relevant personnel. Compile, manage and share the global store’s trading calendar, logging all bank holiday closures and reduced/additional hours with the Retail Ops team and other relevant personnel.
- Coordination: Support the ordering and management of retail supplies in collaboration with the Retail Operations team, including but not limited to uniforms, packaging, and stationery, ensuring quantities ordered are appropriate and do not impact stock availability. Assist with day-to-day and ad hoc Retail Operations tasks as required. Support the Retail Operations team with tasks as and when required. Build trackers for store compliances and usages. Collate relevant information and statistics to aid store evaluation. Review and raise purchase orders sent from the Finance Department. Ensure increased/high costs are shared with the Retail Operations Manager. Assist the Retail Ops team in developing tools required for training and development. Regularly update store training materials to ensure all documents are distributed and adapted for relevant international markets. Assist the other Retail Operations Coordinator with stock controlling the stores: managing TO discrepancies, performing stock adjustments and tracking rolling stock checks. Assist the Retail Operations Coordinator with supplying global stores with till system support and system maintenance (staff account creation, discount reason code etc.). Help coordinate global stocktakes and attend global stock takes as needed. Support with department invoicing and budgets.
- Training: Design and compile the product and campaign packs on a monthly basis. Assist where necessary in the induction and training of new managers and for stores. Update training materials ensuring they are still effective and relevant. Assist where necessary with the implementation of store marketing activity and materials including an update of the marketing and events calendar. Provide systems administration end-to-end support for global stores.
- Adhoc: Support with department invoicing and budgets. Generate reports as necessary. Undertake any other duties assigned by Line Manager.
