Commercial Property & Facilities Coordinator
Join Four Marketing Group as an Assistant Property & Facilities Manager to support the development, design and maintenance of our Group Portfolio, including the Head Office and all retail store locations, locally and globally.
As a key member of the Property department, you will deliver company‑wide Health & Safety solutions, streamline departmental operations and drive the execution of strategic initiatives across the group.
Main Duties & Responsibilities
- Plan and manage reactive and scheduled maintenance for building systems (Emergency Lighting, HVAC, BMS, CCTV, Access Control, Lifts, Pest Control, Fire Extinguishers).
- Negotiate, tender and review contracts across the portfolio.
- Oversee building renovations, office moves and retail closures to ensure projects are delivered on time and to quality standards.
- Maintain building and H&S compliance (fire evacuations, housekeeping, legionella testing, signage, risk assessments).
- Develop relationships across the organisation to foster two‑way communication.
- Monitor departmental budgets and financial spend on a weekly and monthly basis.
- Coordinate all department meetings (agenda, minutes, follow‑up).
- Maintain and update shared drive files for all property & maintenance systems (PPM matrix, floor plans, certificates).
- Manage reactive maintenance ticketing and contractor liaison (landlord, managing agent).
- Approve and process purchase orders, invoicing and Cap‑ex spend.
- Manage the department calendar and H&S portal training for HQ and retail staff.
- Provide status reports to the P&F Manager and senior management.
- Support OOH access and other departmental duties as required.
Personal Specification
- GCSE or A Level required.
- Minimum of 2 years’ experience in Property, Facilities Management or Operations.
- Good knowledge of BMS, H&S policies, utilities and meters.
- Advanced Excel and Microsoft Office proficiency.
- Methodical, accurate and logical approach with strong written and verbal communication.
- Ability to prioritise and manage multiple projects simultaneously.
- Positive attitude, resourceful and “can do” mindset.
- Emergency First Aid at Work Certificate.
- Fire Marshall Certificate.
