We’re looking for a People Administrator to join the Foundry People team.

This role is ideal for someone looking to take their first step into the People function, or who is in the early stages of their People career and looking to grow within a People-focused environment that prioritises operational excellence.

Reporting directly to our Senior People Partner, and receiving day‑to‑day guidance from our People Co‑ordinator, you will play a crucial role that underpins the operational effectiveness of the People team.

You will support our day‑to‑day People administration across Foundry’s global regions (EMEA, APAC, and North America) — delivering an outstanding, customer‑first service and ensuring all tasks and data are handled in a sensitive, accurate and timely manner.

The core purpose of this role is compliance, structure, and maintenance across our People data and systems – creating the conditions for a seamless People‑team experience.

  • The Responsibilities
  • Core Administrative People Processes
  • Be a key point of contact for general administrative People queries, triaging and responding in a timely and approachable manner, and contributing to the management of the People Inbox
  • Support all members of the People and Talent team with administrative tasks to ensure they have timely and targeted access to People information and data – at the right time – to support quality, fast decision‑making and real‑time stakeholder conversations
  • Contribute to the delivery of our core administrative processes; including payroll, onboarding and offboarding, providing a consistent and seamless employee experience
  • Help coordinate benefit membership for new starters, employee changes, and leavers across the UK, US and Ireland.

Liaise with the relevant brokers to ensure changes are accurately reflected in employee records and invoices

  • Generate digital paperwork for review across the employee lifecycle; including employment contracts, contractor agreements, and leave (e. g. family leave), change and leaver documentation
  • Play a key role in the Right to Work process; ensuring the most up‑to‑date process is followed and the correct documentation is regularly audited and stored.

Monitor the visa status for sponsored employees, sharing timely updates with stakeholders and the SMS to ensure renewals, changes, and leavers are processed in line with regulations

  • Data Audits & Hygiene
  • With the People Coordinator maintain our key People systems (Hi Bob, UKG and Confluence) and People data – making real‑time updates to employee information and documentation to accurately reflect our current global workforce at any given time
  • Collaborate with our People Coordinator in conducting regular, scheduled audits across all our systems – including Hi Bob, UKG, and the SMS – to ensure data integrity, completeness and compliance with GDPR and internal / external requirements, giving the wider team confidence that these are being consistently well‑managed
  • Review our monthly scheduled reports, proactively flagging discrepancies and/or patterns with the relevant People Team partner and/or in the weekly People Team meeting
  • Systems Maintenance and Compliance
  • With the People Coordinator, ensure employee information is stored in compliance with GDPR laws, monitoring legal storage timeframes and deleting People data and information where appropriate
  • Organise and transfer stored legacy employee documentation into Hi Bob, ensuring our employees can seamlessly access their key documents at any given time
  • Review and update our HR Server to ensure it is user‑friendly; all folders are intuitively organised, consistently structured, and documents follow the same naming convention, enabling the wider team to find the documents they require without delay
  • Centralize and maintain People‑team templates, ensuring they are always up‑to‑date, consistently formatted, and easily accessible, ready to use
  • Monitor employee time off plans and requests with the People Coordinator, proactively escalating any concerns to other team members, as needed, for their support
  • The Requirements
  • Some prior experience in a high‑volume and fast‑paced administrative role, with a desire to build experience and exposure within a dynamic People function
  • Highly organised and conscientious, with an exceptional attention to detail
  • A team player with a “can‑do attitude”, who thrives in a highly collaborative and ambitious environment
  • Proven experience juggling multiple priorities, with the ability to work independently and navigate ambiguity
  • A high regard for accuracy and confidentiality in handling a wide range of People data (including sensitive and personal information)
  • Curious, results‑driven and resourceful; using initiative to seek out information to solve problems and deliver tasks on time
  • Excellent written and verbal communication skills, including keeping the wider People informed of any relevant updates
  • Good knowledge of Microsoft Office and Google Suite
