This is a varied role suited to someone who enjoys working across administration, customer service, finance, reporting and project coordination, with the confidence to manage multiple priorities in a busy environment.
Key Responsibilities
- Provide comprehensive administrative and clerical support to the Estate Management and Operations teams.
- Manage and coordinate the estate helpdesk, responding to enquiries and ensuring matters are followed up appropriately.
- Assist with the development and ongoing management of resident and occupier communication systems and digital platforms.
- Support the organisation and administration of meetings, including preparing agendas, taking minutes and following up on actions where required.
- Prepare, format and maintain reports, presentations and other estate documentation in accordance with company standards.
- Assist with client audits by coordinating documentation and ensuring information is accurate and readily available.
- Maintain accurate trackers and databases, including key contacts, annual key dates, contracts and operational activities.
- Raise purchase orders, process invoices and support the wider team with day-to-day financial administration.
- Assist with monthly and quarterly reporting by gathering, checking and organising relevant information.
- Support budget monitoring, including Budget vs Actual reporting and other estate finance processes.
- Maintain effective document control and ensure records are appropriately archived and managed.
- Develop, maintain and distribute templates, standard operating procedures and other operational documentation.
- Produce temporary site communications and signage when required.
- Coordinate bookings and use of estate facilities.
- Assist with the planning and delivery of resident, occupier and community events.
- Support continuous improvement initiatives, helping to identify opportunities to improve systems, processes and customer experience.
- Assist with ad hoc projects and other operational requirements as directed by the Estate Management team.
- Undertake general office and administrative duties as required.
About You
We are looking for someone who is highly organised, detail-focused and comfortable working in a role with a broad range of responsibilities. You will ideally have:
- At least two years’ experience in a similar administrative, property or estate management support role.
- Excellent organisational and time management skills.
- Strong attention to detail and a methodical approach to record keeping.
- Excellent written and verbal communication skills.
- A professional, approachable and customer-focused manner.
- Strong IT skills, particularly across Microsoft Office.
- Experience of managing multiple tasks and competing priorities.
- The ability to work independently, use initiative and take ownership of responsibilities.
- Confidence working with financial information, purchase orders and invoices.
- A proactive approach to problem-solving and continuous improvement.
- The ability to build positive working relationships with colleagues, residents, occupiers, contractors and other stakeholders.
