Overview: We are looking for an experienced Executive Assistant to support a busy founder and public-facing executive operating across content, brand, events and business growth. This role requires someone who is highly organised, calm under pressure, discreet, and confident managing both professional and personal logistics. You will act as a trusted extension of the executive, ensuring smooth day-to-day operations and enabling focus on high-impact work. This is a senior EA role suited to someone who has supported founders or executives in fast-paced, high-visibility environments and is comfortable working with autonomy.
Key Responsibilities
- Executive & Diary Management: Full ownership of a complex and fast-moving calendar; scheduling meetings, shoots, travel, personal appointments and events; managing competing priorities and proactively resolving clashes; preparing meeting context, agendas and briefing notes.
- Inbox & Communications: Managing inboxes and key communications; prioritising, filtering and flagging urgent matters; drafting responses or replying on behalf of the executive where appropriate; following up with stakeholders and closing loops.
- Operational & Project Support: Maintaining a clear overview of tasks, deadlines and deliverables; coordinating across internal team members and external partners; following up on actions and ensuring timelines are met; acting as a central point of contact to reduce unnecessary escalation.
- Personal & Lifestyle Administration: Managing personal appointments and logistics; booking travel (flights, hotels, transport); handling household-related admin and ongoing arrangements; ensuring personal admin is organised and up to date.
- Travel & Event Support: End-to-end travel planning, including efficient routing and use of loyalty programmes where relevant; preparing itineraries and supporting changes or disruptions; supporting event logistics and coordination as required; willingness to travel occasionally to support events or launches.
- Content & Presentation Organisation: Providing organisational support across content, podcast and speaking commitments as may be required on an adhoc basis; scheduling recordings and coordinating logistics with relevant teams; tracking deadlines, assets and deliverables; creating and polishing presentations in Canva based on supplied notes.
- Brand Support (As Needed): Coordinating gifting, partnerships or collaborations alongside management teams; acting as a professional and discreet point of contact where appropriate.
- Systems & Administration: Organising and maintaining digital files and Google Drive; improving systems, processes and documentation; creating simple SOPs or checklists to improve efficiency; tracking invoices, subscriptions and renewals; liaising with accountants or bookkeepers when required; flagging issues or deadlines proactively.
Required Experience & Attributes:
- Proven experience as an Executive Assistant supporting senior leaders or founders.
- Experience working in fast-paced, high-growth or public-facing environments.
- Exceptionally organised, calm and detail-oriented.
- High level of discretion and experience handling confidential information.
- Strong written and verbal communication skills.
- Confident working autonomously and anticipating needs.
- Comfortable managing both professional and personal logistics.
- Systems-minded with strong operational judgement.
