Job Purpose

The role provides administrative support to the Personal Development area at QAC, including Work Experience, Careers and Next Steps, PSHE, Student Voice, Collaborations and Citizenship, and Preparation for Adulthood activity, as directed by the Assistant Principal – Personal Development.

The postholder will support the effective organisation, recording and communication of Personal Development activity, helping to maintain accurate systems, efficient administrative processes and consistent records across the College.

Key Responsibilities

  • Provide administrative support for Personal Development activities, events and projects, as directed by the Assistant Principal – Personal Development.
  • Support the preparation of registers, resources, letters, forms, booking information and event documentation.
  • Assist with organising meetings, events, workshops, assemblies, employer encounters, student voice activities and other Personal Development opportunities.
  • Support communication with staff, students, families, employers and external partners where required and as directed.
  • Collate information, feedback and evidence provided by relevant staff to support reporting, audits and quality processes.
  • Maintain organised electronic folders and shared resources linked to Personal Development activity.
  • Support the AP PD with follow-up actions, reminders and administrative checks linked to planned activity.

Administrative Support to the Assistant Principal – Personal Development

  • Provide administrative support to the Assistant Principal – Personal Development.
  • Support meeting administration, including preparing agendas, taking minutes and maintaining action notes where required.
  • Support the organisation of Personal Development calendars, key dates and activity schedules.
  • Prepare documents, reports, briefing notes and information summaries as directed.
  • Maintain action logs and support follow-up of agreed administrative tasks.
  • Support the collation of information required for self-assessment, quality improvement, audits and reporting.

Data, Systems and Tracking

  • Support the maintenance of Personal Development records, trackers and evidence systems, as directed by the Assistant Principal – Personal Development.
  • Assist with data entry, checking, filing and collation of information across Personal Development areas.
  • Support the preparation of routine summaries, reports and evidence packs using information provided by relevant staff.
  • Identify missing or incomplete administrative information and follow up with relevant staff where requested.
  • Maintain clear and organised electronic filing and shared evidence systems.

Team and Operational Support

  • Respond to routine administrative enquiries and direct queries to the appropriate member of staff.
  • Work collaboratively with curriculum, support and wider college teams.
  • Support the organisation of shared calendars, key dates and activity schedules linked to Personal Development.
  • Undertake additional administrative duties linked to Personal Development, as reasonably directed by the Assistant Principal – Personal Development.

Skills, Knowledge and Expertise

  • Minimum Level 2 qualification, or equivalent, in English and Maths.
  • Good IT skills, including Microsoft Office programmes.
  • Willingness to undertake further training relevant to the role.
  • Sound administrative and organisational skills.
  • Ability to maintain accurate records, trackers and electronic filing systems.
  • Good attention to detail and accuracy.
  • Ability to prioritise tasks and work to deadlines.
