Murray Recruitment is seeking an organised and proactive Service Administrator for a permanent position with a client based in Glasgow. In this role, you will work closely with the Operations Manager and key clients, providing essential administrative support to ensure the effective scheduling and coordination of planned maintenance, reactive works, and repairs.

Key Responsibilities

  • Plan and coordinate Planned Preventative Maintenance (PPM), reactive works, and repair jobs.
  • Generate and manage purchase orders for materials and services.
  • Prepare quotations and estimates as required.
  • Order and track necessary materials to support service operations.
  • Process billing and invoices for clients promptly and accurately.
  • Update internal CRM and client systems to maintain accurate records of ongoing jobs and schedules.
  • Participate in an on‑call rota (one in every three weeks), managing after‑hours breakdowns and dispatching engineers for urgent needs.

Experience & Skills Required

  • Strong customer service and administrative skills.
  • Experience in planning or helpdesk roles is desirable.
  • Knowledge of Scottish geography for efficient job scheduling and planning.
  • Excellent telephone manner and attention to detail.
  • Proficiency in the Microsoft Office Suite, especially Excel, with skills in filtering and highlighting data for client reporting.
  • Able to work independently and effectively communicate with stakeholders at all levels.
  • Enjoys working as part of a proactive team, focused on delivering positive, client‑centred service.

Benefits Package

  • Salary: £27227 per annum
  • Hours: Monday–Thursday, 8:30 am–5 pm; Friday, 8:30 am–4 pm
  • On‑call Rota: 1 in 3 weeks, with an additional £200 per on‑call week / £3466 annually
  • Attendance Bonus: £250 per quarter / £1000 per year
  • Holidays: 25 days of annual leave plus 8 statutory holidays
  • Company pension scheme
