About the role
The Office Coordinator plays an important role in creating a professional, welcoming and well‑organised office environment. Working closely with the Office Manager and wider team, you will provide front‑of‑house, facilities and administrative support to ensure the smooth day‑to‑day running of the office. This is a predominantly office‑based role and would suit someone looking to develop their career in office administration and facilities support. #LI-JH2 #LI-DNP
Key responsibilities
- Deliver a professional and friendly front‑of‑house experience for colleagues, clients and visitors.
- Set up meeting rooms, ensuring they are clean, presentable and equipped for meetings and events.
- Support the day‑to‑day facilities operations, helping to maintain a welcoming, clean, safe and secure working environment.
- Assist with visitor management, including greeting visitors and coordinating contractor access.
- Provide support with office health and safety activities, including office inspections, fire drills and incident reporting.
- Assist with onboarding activities for new joiners, including office tours and first‑day arrangements.
- Monitor office supplies and place orders as required.
- Support the management and distribution of incoming and outgoing post, deliveries and couriers.
- Provide switchboard and general inbox support, responding to or escalating enquiries as appropriate.
- Assist with the coordination of local office events and team activities.
- Support meeting and event catering arrangements when required.
- Carry out routine administrative tasks, maintaining accurate records and documentation.
- Help identify opportunities to improve office processes and enhance the workplace experience.
What we're looking for
- Previous experience in a customer service, hospitality, administrative or office support role would be beneficial.
- A positive, professional and approachable manner.
- Excellent communication and interpersonal skills.
- Strong organisational skills and attention to detail.
- Ability to prioritise tasks and manage a varied workload.
- Comfortable using Microsoft Office applications, including Outlook, Word and Teams.
- A proactive attitude with a willingness to learn and take on new responsibilities.
