Job Purpose
The Events Coordinator is responsible for planning, organizing, and executing a wide range of events, ensuring seamless delivery from concept to completion. They provide essential support to internal teams and external stakeholders, manage event logistics, and maintain detailed schedules and communications. The Events Coordinator is expected to deliver exceptional client service, uphold brand standards, and create memorable experiences in all aspects of their role.
Job Role
- Take ownership of the development, production and delivery of event projects from proposal right up to delivery.
- Plan and deliver high quality events, keeping to strict deadlines
- Setting, communicating and maintaining timelines and priorities on every project
- Communicating, maintaining and developing stakeholder and supplier relationships
- Assisting with administrative functions to ensure specific projects are delivered efficiently
- Travelling to site visits and assisting with on the day project management
- Taking concise event briefs & advising the business of best practice
- Maintain and take responsibility for event budgets
- Produce detailed proposals for events
- Researching, securing and booking a suitable venue or location
- Coordinating suppliers, handling client queries and troubleshooting on the day of the event to ensure that all runs smoothly
- Dismantling and removal of the event and clearing the venue efficiently
- Liaising with the venues and suppliers to ensure all final details are met
- Sending invitations, monitoring numbers for events, updating venues
- Processing of invoices
- Keeping accurate records of costs for reporting
Person Specification
- Experience in a similar role.
- Strong attention to detail, organisational and multi-tasking skills.
- Strong problem-solving abilities to address and resolve issues promptly and efficiently.
- Exceptional communication, presentation and interpersonal skills.
- A strong team player who works collaboratively.
- Flexible with the ability to work effectively under pressure and manage conflicting priorities.
- Advanced MS Office skills (specifically Word, Excel and PowerPoint).
