Operations Assistant (4 Days a Week - 1 Year FTC) - London Our Head Office department is in the heart of Piccadilly and occupies the 5th and 6th floors of our beautiful flagship store. This central London location offers so much to explore, including restaurants, bars, cultural sites, shopping and more, and is only a short walk from Green Park Underground Station and several bus routes. We are looking for a highly organised and proactive Part-Time Administrative Assistant (4 days per week / 12-month FTC) to join our team. This role plays a key part in supporting the day-to-day operations of the department, ensuring administrative processes run efficiently and providing coordination across both internal teams and external suppliers. Key Responsibilities Administrative Support Provide day-to-day administrative support to the department, ensuring tasks are completed accurately and efficiently. Prepare presentations, reports, meeting materials and other business documents as required. Maintain organised records, documentation and departmental files. Supplier & Stakeholder Coordination Liaise with external suppliers and service providers, managing bookings, deliveries and ongoing communications. Build and maintain positive working relationships with internal and external stakeholders. Monitor supplier activity to ensure services are delivered on time and within agreed budgets. Logistics & Coordination Coordinate deliveries, collections and supplier visits, maintaining accurate schedules and diaries. Support the planning and organisation of departmental activities, projects and meetings. Ensure all relevant stakeholders are kept informed of key timelines and updates. Finance Administration Support budget tracking and departmental expenditure monitoring. Process company credit card transactions and expense reconciliations. Raise purchase orders, track invoices and support the timely processing of payments. Diary & Meeting Management Schedule meetings, manage calendars and coordinate room bookings. Prepare agendas and circulate meeting documentation. Take ownership of departmental schedules and support team planning activities. Required Skills & Qualifications Experience 2-3 years' experience in an Administrative Assistant, Team Assistant, Coordinator, Executive Assistant, Retail Operations or similar support role. Organisation & Time Management Excellent organisational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment. Technical Proficiency Strong working knowledge of Microsoft Office, particularly Excel, PowerPoint and Outlook. Experience with Adobe Creative Suite would be advantageous but is not essential. Communication Strong verbal and written communication skills with the confidence to interact with colleagues and stakeholders at all levels. Attention to Detail Highly organised with excellent attention to detail and a proactive approach to problem-solving.
