Responsibilities:
- Maintain corporate web applications and online forms within timelines to achieve client objectives which include: responding to inquiries, recommending appropriate courses of action, assisting with required changes, and obtaining appropriate approvals.
- Review design and revise forms to reduce redundancy and inefficiency.
- Use web templates and create form layouts that support communication goals and adhere to corporate standards.
- Review and provide input to support information architecture and layouts for web and forms.
- Act as liaison between internal and external end users to ensure a smooth publication process of corporate web content and form applications.
- Administer procurement, storage, and distribution of forms; liaise with printers and suppliers.
- Prepare specifications, negotiate with vendors, inspect products, and manage inventory.
- Process and reconcile variance reports and unit invoices.
- Maintain website and forms governance and records.
- Administer cloud-hosted electronic signature systems and answer related questions.
- Maintain records, indexes, and control files for web content and forms.
- Ensure current web content best practices are followed; manage governance of the content management system.
- Coordinate the provision of Corporate Manuals including liaising with users to determine needs within budget.
- Production of binder artwork as required including procurement of binders, tabs, and printed material that is compatible with vendors.
- Act as a resource to clients regarding the publishing process including providing assistance and exploring ideas to identify and resolve problems.
- Review for consistency, quality, and accuracy.
- Participate in the management of small or medium-sized web-based projects.
- Create and review online forms to meet operational needs.
- Consult with end users regarding form requirements.
- Determine appropriate action (i.e. consolidation or revision of existing forms, creation of new form system, and procedural change).
- Set up user permissions.
- Provide form data to clients.
- Troubleshoot first level web-related operational issues working closely with Information Services.
- Administer the web publishing environment including maintaining content author permissions.
- Implement workflow based on client requirements.
- Create and maintain support reference material and training documents.
- Participate in the development, testing, and implementation of web applications (includes maintenance, identifying bug fixes, and determining enhancements if required).
- Perform duties of a minor nature related to the above duties which do not affect the rating of the job.
Requirements:
- Education: Completion of Certificate in Web Development, Digital/Graphic Design, or related field from an accredited post-secondary institution.
- Experience: A minimum of two (2) years directly related and recent experience in web management and/or forms design.
- Advanced knowledge of website infrastructure, operation, design, and web-related software programs.
- Strong understanding of forms design, graphic design, and the printing process.
- Advanced knowledge of web content management systems, collaborative platforms, HTML, CSS, and online form creation.
- Sound working knowledge of VisualBasic, Word, Excel, Adobe Acrobat, and Illustrator.
- Working knowledge of video streaming sites.
- Excellent oral, written, presentation, and interpersonal skills including the ability to share knowledge and skills with others.
- Ability to collaborate with a team and work independently.
- Ability to provide customer service in a large complex organization with a well-developed knowledge of the value and use of the web and other communication mediums.
- Ability to conduct research and provide trend analysis.
- Ability to troubleshoot first level web-related problems.
