About the role: We are seeking an Office Manager who can bring a fresh perspective and innovative ideas to our London office. You will have a keen eye for detail, exceptional organisational skills, and a proactive mindset to anticipate and address the evolving needs of our team. Building and maintaining positive relationships with our employees, supporting their well-being, and contributing to our office’s thriving culture will be central to success in this role. You will play a pivotal role in creating a welcoming and efficient office space that reflects our values and supports our team members. This is a maternity cover role for 12 months.

What you’ll be doing:

  • Employee Experience
    • Own the annual events plan and communicate the quarterly cadence of programming to employees.
    • Plan and execute monthly office events, team lunches, and ad hoc activities that foster a vibrant, inclusive in-office culture.
    • Lead the office culture committee, driving engagement initiatives and ensuring a consistent, community-oriented experience across the team.
    • Lead a consistent and meaningful onboarding experience for new hires — from coordinating security passes and setting up laptops, to preparing welcome kits and swag, running orientation presentations, and giving a warm office tour on day one.
    • Manage offboarding logistics including deactivating building passes and collecting company equipment.
    • Coordinate catering for hub days, team meetings, and company events, ensuring a great in-office experience.
    • Drive internal workplace communications via Slack and other channels, keeping employees informed of office updates, events, and building notices.
  • Workplace Management
    • Serve as the first point of contact for employees and visitors, providing a professional and warm welcome to the office.
    • Manage regular ordering of snacks, drinks, and office supplies, maintaining organised inventory and storage systems.
    • Act as a pulse check on employee sentiment, sending regular surveys and gathering informal feedback to understand office needs and flag themes that shape a better in-office experience.
    • Conduct regular walk-throughs of the office, meeting rooms, and communal areas to ensure tidiness and a high-quality environment, restocking supplies as needed.
    • Manage office attendance and visitor management, greeting guests of executives and new hires with care and professionalism.
    • Coordinate with facilities vendors and the landlord to manage maintenance, repairs, and service issues.
  • Office Support
    • Provide IT support for onsite setups, upgrades, troubleshooting, and Wi-Fi issues.
    • Process financial administration via Zip — uploading receipts, managing card allowances, and submitting purchase order requests.
    • Track Employee Experience and event budgets.

What you’ll need:

  • 4+ years of experience in office management, administration, or coordination — ideally within a fast-paced tech or scale-up environment.
  • Proven ability to organise and execute employee engagement initiatives and events.
  • Facilities management experience, with an understanding of vendor coordination and day-to-day operations.
  • Excellent communication and interpersonal skills, with the confidence to collaborate across teams and engage employees at all levels.
  • Highly organised, detail-oriented, and able to manage multiple priorities simultaneously.
  • A proactive self-starter who takes ownership and works well with minimal supervision.
  • Customer-service mindset — you genuinely care about creating a great experience for everyone in the office.
