We have an exciting opportunity to recruit a Document Production Specialist for a 12 month FTC within our Document Production team.

Document production and technical support

  • Provide firmwide document production support in line with business priorities and deadlines.
  • Convert, format and amend documents across a range of applications, ensuring accuracy and compliance with the firm’s house style.
  • Produce and amend a wide range of documents, including: contracts and legal documents; spreadsheets, charts, graphs, tables and mail merges; presentations and pitch documents.
  • Maintain and update the firm’s precedent bank, ensuring documents remain current, accurate and follow house style.
  • Use document comparison, red-lining and editing tools to amend legal documents.
  • Manipulate PDFs, including redaction, pagination, reordering, bundling and document clean-up.
  • Troubleshoot, stabilise and repair documents, including recovering or restoring corrupted files where possible, and escalating to IT when required.
  • Scan, clean and convert documents to and from a variety of file formats.

Dictation, transcription and administrative support

  • Produce documents from digital dictation and audio transcription.
  • Support BSC Admin to complete administrative tasks and ad-hoc assignments.
  • Handle and manage incoming telephone calls where necessary.

Quality, compliance and confidentiality

  • Proofread and quality-check all work to ensure accuracy, consistency and compliance with firm house style.
  • Handle sensitive and confidential information in line with firm policies and information security requirements.
  • Ensure all work is completed within required timescales, proactively communicating deadline issues.

Communication and client service

  • Communicate effectively with the Assistant DP Managers, workflow leads and internal clients regarding job progress, queries and deadline pressures.
  • Liaise with work providers when necessary to clarify instructions and deliver work to expectations.
  • Develop a strong understanding of partners, lawyers, secretaries and their practice areas to enhance customer service.
  • Keep service users regularly updated on the progress of their work.

Teamwork and knowledge sharing

  • Support and collaborate with other members of the DP team, sharing system knowledge, best practice and providing day-to-day support.
  • Demonstrate a flexible and supportive approach to workload and team and individual priorities.
  • Contribute positively to the effectiveness and reputation of the Document Production team.

Knowledge And Skills

  • Strong working knowledge of Microsoft Word, Excel and PowerPoint.
  • Experience of using document management systems and document comparison tools.
  • Good understanding of legal documentation and terminology, with the ability to apply house style consistently, including advising the firm on best practice.
  • Understanding of, and adherence to, the firm’s branding, policies and procedures.

Other Skills Required

  • Proven document production experience in the professional services sector.
  • Advanced proficiency in Microsoft Word, including understanding templates, styles, and complex document formatting.
  • Accurate and quick typing speed.
  • Proven experience converting and formatting documents across multiple applications and file types with a high degree of accuracy.
  • A comprehensive and advanced understanding of industry standard document management systems and terminology.
  • Experience and utilisation of digital dictation.
  • Confident use of document comparison and red-lining tools.
  • High level of competence in PDF manipulation, including redaction, pagination, bundling, re-ordering and document clean-up.
  • Ability to troubleshoot, stabilise and repair documents, including recovering corrupted files or escalating appropriately.
  • Exceptional attention to detail.
  • Proven ability to prioritise and manage multiple deadlines in a fast-paced, high-pressure environment.
  • Strong proofreading and quality review skills.
  • Demonstrated ability to identify risks or issues early and communicate them clearly to manage expectations.
  • Ability to work in team environment and as an independent specialist.
  • Excellent verbal and written communication skills.
