We help customers extend asset life and reduce downtime across printers, mobile phones, POS devices, handheld barcode scanners, and related tech. Our operations blend precision, pace, and continuous improvement - keeping stock accurate, devices moving, and customers informed.
Role Purpose
The Logistics Co‑ordinator owns the flow of inventory and devices through the operation - goods in, put‑away, stock accuracy, and goods out - ensuring every item is traceable, every movement is recorded, and every shipment is right first time. You’ll write and maintain SOPs, keep our stock management system fully up to date, and use Excel to monitor performance and spot opportunities to make processes faster, simpler, and more reliable. We’re looking for a high‑energy, purpose‑driven operator with strong initiative - someone who enjoys fixing bottlenecks, tightening controls, and making things run smoothly.
Key Responsibilities
- Goods In: Book deliveries into the stock management system with complete and accurate data (serial/IMEI/asset tags, condition, quantities). Coordinate checks: visual inspection, triage coding, and discrepancy escalation. Label and route items for repair/refurbishment workflows.
- Put‑Away & Inventory Control: Assign and maintain bin/shelf locations; manage quarantines and returns‑to‑vendor. Perform and reconcile cycle counts and stock takes; investigate variances to root cause. Maintain location hygiene and 5S standards.
- Work‑in‑Progress (WIP) Tracking: Track devices through repair/refurb stages; ensure WIP is visible and aged items are chased. Collaborate with engineering/repair teams to prioritise and unblock queues.
- Goods Out / Dispatch: Pick, pack, and dispatch to SLA: correct item, correct paperwork, on‑time courier handover. Prepare shipping documentation (courier labels, customs/commercial invoices when applicable). Proactively resolve failed collections, exceptions, and delivery queries.
- Process & Documentation: Write, update, and roll out SOPs for all logistics processes (goods in/out, put‑away, returns, RMA, quarantines). Train colleagues and spot compliance gaps; drive standard work and audit readiness.
- Systems & Reporting: Keep stock management software live and accurate - no backlogs, no offline records. Use Excel (lookups, pivots, conditional formatting) to track KPIs, age WIP, monitor shortages, and surface trends. Produce daily/weekly dashboards and exception reports for Operations.
- Continuous Improvement: Identify root causes for delays, errors, and stock discrepancies; implement corrective actions. Optimise layout, location logic, pick paths, and packaging standards. Partner with suppliers/couriers to improve OTIF and reduce damage/returns.
Skills & Experience (Essential)
- Experience in a warehouse/logistics coordination role, ideally with technical devices or serialized stock.
- Confident with stock/warehouse management systems (WMS/ERP) and barcode scanners.
- Strong Excel skills: VLOOKUP/XLOOKUP, SUMIF/S, PivotTables, basic charts, data cleansing.
- Proven ability to write clear SOPs and drive process adherence.
- Excellent attention to detail; comfortable with serial/IMEI tracking and reconciliation.
- High energy, proactive mindset with a continuous improvement approach.
- Strong communicator – able to work cross‑functionally with repair/engineering, customer service, and couriers.
Desirable
- Experience in repairs/refurb, RMA handling, or returns processing.
- Knowledge of 5S/Lean, root cause (5 Whys, fishbone), and basic process mapping.
- Courier platforms experience (e.g., DPD, DHL, UPS) and export documentation.
