The Administrator will provide efficient, reliable, and professional administrative and secretarial support across all departments, ensuring the smooth day-to-day operation of the office and a high standard of service to clients and colleagues.

Key Responsibilities

  • Provide reception and telephone cover, dealing with enquiries promptly and professionally.
  • Undertake general administrative duties including photocopying, scanning, filing, archiving, file opening and updates, and time recording.
  • Coordinate incoming and outgoing post and local deliveries, including document preparation and monitoring postage supplies.
  • Maintain stationery stocks, arranging re-orders when required and ensuring items are stored appropriately.
  • Assist with facilities administration and general office upkeep.
  • Monitor printers and photocopiers, replenishing paper and replacing toner as required.
  • Provide support with billing and accounts tasks when necessary.
  • Produce correspondence, documents, and file notes using digital dictation as requested by principals or fee earners, assisting with workload management during busy periods.
  • Manage electronic diaries, arrange appointments and meetings, record key dates, and ensure timely follow-up.
  • Take calls for principals and fee earners, maintain accurate file notes, relay messages efficiently, and provide cover during holidays or absences.
  • Communicate clearly and professionally with clients and colleagues, ensuring information is passed on accurately and in a timely manner.
  • Represent the firm positively at all times in dealings with clients, colleagues, and external contacts.
  • Process all administrative tasks in line with office procedures and manuals.
  • Carry out ad-hoc duties as required to support the wider team.
