We are looking for a Security Vetting Coordinator to join our Security department. This role will work under the Security Operations Lead and be responsible for the personnel due diligence and vetting coordination.
Main Duties & Responsibilities
- Provide support to the F1 Security Vetting Administrator, to assist on the onboarding and vetting of candidates joining Formula 1.
- Assist in the progress tracking of prospective candidates joining Formula 1.
- Assist the HR team in the continuous improvement of the onboarding experience.
- Update and maintain key documentation, including the Vetting Intranet, Policies, Procedures and Guidelines.
- Manage F1 Security vetting team related purchase orders and invoicing.
- Provide data entry, retrieval, and database maintenance of documentation.
- Work collaboratively with the Talent Acquisition and HR teams to forecast onboarding volumes and ensure all personnel are subject to the appropriate vetting checks.
- Working with the vetting partner, administrate the service portal to ensure all new starters are uploaded and progress through the checks prior to the agreed start date.
- Monitor completion times of checks in comparison to the service level agreements and raise any performance concerns.
- Build excellent working relationships and credibility within the Security department and across the Business.
- Formalise procedures for decision making on anomalies as a result of vetting checks with ad hoc approvals from the Head of Security and Head of HR.
- Monitor the completion of the HR onboarding processes and advise on risks identified during the process.
- Provide industry leading onboarding experience for hiring managers as well as candidates, ensuring that all communications are proactive, and timelines met.
- Work collaboratively with HR, Facilities and Security to effectively manage the offboarding processes and identify risks identified during the process.
- Ensure Known Consignor training is delivered and documented to ensure Formula 1 is fully compliant with the requirements outlined in the Regulations, ensuring that all staff/contractors/suppliers have been correctly recruited and have successfully completed a background check(s) in accordance with UK legislation.
- Track and administrate the Known Consignor training program, ensuring all personnel who require training have received it and have all relevant documentation in order.
- Conduct ad hoc checks to ratify prospective personnel qualifications and/or experience.
- Perform quality assurance checks on 3rd party suppliers to ensure compliance with relevant legislation and/or company policies.
- Working in collaboration with key stakeholders within Procurement Team, ensure all 3rd parties, suppliers, contractors provide personnel vetting in line with F1 security vetting policy(s).
- Perform due diligence checks on partner fraud databases as well as uploading bad actors internally.
