The Role: Are you a discreet, high-energy hospitality expert ready to curate the ultimate guest experience on the global stage of the world’s most progressive racing series? We are looking for a VIP Guest Relations Coordinator to join the Formula E team in a role that is far more than logistics; it is a front-row seat to the heart of elite motorsport. As the primary architect of the “wow factor” for our most influential guests and dignitaries, you will act as the central point of contact, from the quiet precision of the CEO’s office to the high-octane race paddock. You will be across the globe, ensuring every itinerary is seamless, every invitation is personalised and that every guest experiences the very best of electric racing.
- Guest Experience & Personalised Journey: You will coordinate the end-to-end communication strategy, from the initial “hold the date” to the delivery of bespoke, minute-by-minute itineraries. Whether it’s coordinating high-stakes meet-and-greets or managing exclusive hospitality access, you ensure that every touchpoint, large or small, is executed with flawless precision and a personal touch.
- Strategic Operations & CRM Mastery: You are the backbone of our guest data management. Working closely with Executive Assistants and department leads, you will manage our CRM guest tool, building detailed profiles that track personal preferences, engagement history and key requirements. Your attention to detail ensures that guest lists are accurate, briefing documents are comprehensive and post-race feedback is captured to constantly elevate our standards.
- On-Site Excellence & Stakeholder Management: You thrive in the electric, fast-paced atmosphere of a race weekend. You will travel internationally to manage the logistical dance of VIP arrivals, ticketing and accreditation. You bridge the gap between internal departments and external partners, troubleshooting issues in real-time and managing the day-to-day gifting and operational logistics for the CEO’s office with total discretion and integrity.
What we’re looking for in you:
- The VIP Specialist: You have a proven track record in a high-touch, customer-facing role within sports, entertainment or luxury hospitality. You understand the nuances of working with C-suite individuals, dignitaries and high-net-worth guests. Previous experience as a PA or EA to a C-suite individual is a significant plus, as you understand the level of service and confidentiality required at this level.
- The Collaborative “Road Warrior”: This isn’t a 9-to-5 desk job. You are ready to embrace a global lifestyle, traveling extensively to iconic host cities across the Formula E calendar. You are a resilient team player who remains calm under the pressure of live event operations, possessing a proactive “can-do” attitude and the flexibility to work the long, unsociable hours that world-class racing demands.

Whether you are managing complex accreditation processes, raising purchase orders or maintaining a confidential database, your work is accurate and efficient. This is a hybrid role and you’ll be required to do 3 days a week in our Hammersmith London office.
